Track changes in your institution with Audit Logs
See who created, changed, graded or deleted what under Settings → Data Management & Reporting → Audit Logs, filter by action, type and date, open change details and export the result as a CSV file.
Audit Logs show who did what in your institution and when, for example who created a course, changed a user, graded an exam, or published a document. You find them under Settings → Data Management & Reporting → Audit Logs.
Why it matters
When a grade, a course, or a user record suddenly looks different, the first question is: who changed it, and when? Audit Logs answer that without guesswork. They help with internal reviews and data-protection questions, and you can hand a filtered list to auditors as a file.
Before you start
| Requirement | Detail |
|---|---|
| Permission | Your role needs the Audit Logs settings permission (read-write:settings-audit-logs). Without it, Audit Logs does not appear under Settings → Data Management & Reporting |
| Recorded activity | The page only shows activity that has been recorded. If there is none yet, the header reads Audit Logging with No Activity Recorded |
Read the activity list
Open Settings → Data Management & Reporting → Audit Logs. The header reads Audit Logging Active and shows since when changes are tracked, for example "Tracking all changes since 01.09.2026".
Each entry in the list shows who did what and when.
Some entries carry a small badge, for example with the number of changed fields. Click the entry to open its details: you see which fields changed, with the old and the new value, or which items were affected.
At the end of the list, click Load more... to see older entries.
How to filter the list
Click Actions and pick one or more actions: Created, Updated, Deleted, Viewed, Submitted, Graded, Published, Archived, or Restored.
Click Type and pick what the action was about: Notes, Users, Companies, Courses, Content Blocks, Exams, Curricula, Smart Documents, User Data Fields, Modules, Module Groups, or Learning Analytics.
Use the date picker to limit the list to a period.
Click Clear to remove all filters. Click the refresh icon (Refresh) to load the newest entries.
How to export audit logs
Set the filters you need.
Click Export. A panel opens with Export Scope and Export Fields.
Under Export Scope, the option to export all filtered entries is selected and shows how many there are. Exporting selected rows is not available here, because the list has no row selection.
Under Export Fields, keep or remove columns: Timestamp, User, Actions, Entity Type, Entity Name, and Details. All are selected by default.
Click Export. Fuxam downloads audit-logs.csv. The file uses semicolons as separators, so it opens directly in Excel.
Best practices
- Start with a date range and one Type when you investigate a specific change. Add Actions to narrow it further.
- Export regularly if your institution must keep its own record of changes, and store the files in a safe place.
- Give the Audit Logs permission only to people who need it. The list shows who changed what across your whole institution.
- Open the details of an entry before you draw conclusions. The old and new values show exactly what changed.
Common pitfalls
| Pitfall | What happens | What to do |
|---|---|---|
| Filters still set from last time | The list or export is shorter than expected | Click Clear and set the filters again |
| Export far too large | The export is only partly completed | Narrow the date range or the Type filter and export in parts |
| Looking for something that was never recorded | The list stays empty | Check the date shown in the header: only changes since then are tracked |
| Audit Logs missing in Settings | You cannot open the page | Ask an administrator to add the Audit Logs settings permission to your role |
FAQ
Can I change or delete entries?
No. The page only lets you read, filter, and export entries.
Can I filter by person?
Not from the toolbar. Filter by Actions, Type, and date, then look at who is named in each entry, or export and sort by User in your spreadsheet.
Why does the export show a different number of entries than the list?
The list loads entries step by step with Load more.... The export covers all entries that match your filters, not only the ones already loaded.
Which file format do I get?
A CSV file named audit-logs.csv, separated by semicolons so that Excel opens it correctly.
