Academic structure (Database)
Build and maintain the foundational academic data — modules, curricula, rooms, and terms — that drives planning, enrollment, and courses across OrgHub.
The Database section of OrgHub holds the core academic building blocks of your institution: modules, curricula, rooms, and chronology (terms). In FuxamCMS this area is often called the academic structure — the shared catalog of what can be taught, how programs are arranged, where sessions can take place, and when academic periods run. Everything defined here feeds into planning, enrollment, course administration, and day-to-day scheduling elsewhere in Fuxam Web.
Without a maintained Database, planners invent structure in spreadsheets, room bookings float free of a shared directory, and cohorts cannot inherit coherent study plans. The Database exists so that one authoritative set of records drives the rest of OrgHub instead of each team keeping its own copy.
How this fits into Fuxam
Academic structure sits inside FuxamCMS under OrgHub’s Database sidebar. It is the foundation layer: planning and courses consume Database records; they do not invent modules, terms, or rooms from scratch.
| Database area | What it defines | What consumes it |
|---|---|---|
| Modules | Units of study and their versions (credits, exams, templates) | Curricula, module planning, course linking |
| Curricula | Program blueprints: study periods, elective groups, module slots | Study programs and cohorts, student study plans |
| Rooms | Bookable spaces, locations, and setups | Base calendar appointments, LMS course calendars, utilization views |
| Chronology | Academic terms and election or reassessment windows | Planning grids, filters, elections, exam timing |
Downstream areas that rely on this foundation:
- Programs and planning — study programs, cohorts, and module planning use modules, curricula, and terms.
- Courses management — operational courses connect to modules and enrollments shaped by program structure.
- Calendar — appointments book rooms defined in Database and invite people from courses and cohorts.
Key concepts
| Term | Meaning |
|---|---|
| Database | The OrgHub section that stores foundational academic master data (modules, curricula, rooms, terms) |
| Module | A unit of academic content — for example, “Introduction to Economics” — often measured in ECTS credit points (the European Credit Transfer and Accumulation System; a full academic year is typically 60 ECTS) |
| Curriculum | The structured blueprint of modules for a study program, including study periods and elective rules |
| Room | A bookable physical or online space used on calendar appointments |
| Location | A building or campus group that organizes rooms; appointments book a room, not a location alone |
| Term / study period | A named academic window (for example, Winter Semester 2025/26) with start and end dates used across planning and filters |
| Version | A point-in-time snapshot of a module or curriculum so older cohorts keep their structure while you revise for the next intake |
In this section
Modules
Create course modules and manage their versions.
Curricula
Build structured curricula with study periods and elective groups.
Rooms
Manage rooms, locations, and room calendars for appointments.
Chronology
Configure academic terms that drive planning, booking, and filters.
Roles and responsibilities
| Role | Typical responsibility |
|---|---|
| Academic / curriculum office | Own modules and curricula; keep versions aligned with program regulations |
| Timetable / facilities staff | Maintain rooms, locations, capacities, and status so booking stays accurate |
| Academic planners | Rely on terms and modules when building module planning and cohort plans |
| Course administrators | Link courses to modules and enroll students once structure and cohorts exist |
| Institution administrators | Enable Database features and grant the roles that can edit master data |
Where to start
A practical order when setting up or refreshing academic structure:
- Define terms in Chronology so planning and filters have academic periods to scope.
- Create or update modules that your programs will use.
- Build curricula from those modules and assign curriculum versions to cohorts.
- Register rooms and locations before heavy appointment scheduling begins.
- Move into Programs and planning and Courses management for operational delivery.
Open Database from OrgHub → Database, then choose Modules, Curricula, Rooms, or Chronology from the sidebar.
