Show today's appointments on a screen with Calendar Cast
Set up Calendar Cast monitors under Settings → Management → Calendar Cast, choose layout and filters, and open the public display URL on a TV or monitor.
Calendar Cast shows today's appointments on a public screen, such as a TV in a hallway or a monitor at reception. You set up one or more monitors under Settings → Management → Calendar Cast, and each monitor gets its own display URL.
Why it matters
Students and visitors want to know what is happening today and where, without opening the app. A monitor in the lobby that lists today's courses, rooms, and start times answers that at a glance, and it updates itself as the day goes on.
Before you start
| Requirement | Detail |
|---|---|
| Permission | Your role needs the Calendar Cast settings permission (read-write:settings-calendar-cast). Without it, Calendar Cast does not appear under Settings → Management |
| Appointments | The screen only shows appointments scheduled for today (in your institution's time zone) |
| A display device | Any screen with a web browser, for example a smart TV or a small computer connected to a monitor |
How to add a monitor
Open Settings → Management → Calendar Cast. The Calendar Cast Setup section lists your existing monitors, or shows No monitors found if there are none yet.
Click Add Monitor. A side panel opens.
Under Layout, pick Departure Board (a dense table, the default) or Lobby Board (a large, rotating list with big text).
Enter a Monitor Name, for example "Main building lobby". The name is only shown in the settings list.
Set Items per page (default 10) and Seconds until page switch (default 10, at least 5). When there are more appointments than fit on one page, the screen flips pages on its own.
Under Appointment Category, choose which appointments to show: Online, Hybrid, Offline, or all of them (the default). At least one category must stay selected.
Optionally narrow the screen with Courses, Rooms, and Locations. Search and select as many entries as you need in each field.
Optionally turn on Show app download banner to show QR codes for the Fuxam mobile app (iOS and Android) on the screen.
Click Submit. You see Monitor updated, and the new monitor appears in the table.
Which appointments appear
| Your selection | What the screen shows |
|---|---|
| No courses, rooms, or locations selected | All of today's appointments in your institution |
| Courses selected | Today's appointments of those courses. If an entry has sub-entries in your course structure, their appointments are included too |
| Rooms or locations selected | Today's appointments in those rooms, or in rooms at those locations |
| A mix of courses, rooms, and locations | Appointments that match any of them |
The Appointment Category setting always applies on top. For example, if you select a room and only Offline, online appointments in that room are hidden.
Put the monitor on a screen
In the monitors table, find your monitor. The URL column shows its display link.
Click the copy icon next to the URL. The icon turns into a check mark when the link is copied.
Open the link in the browser of your display device and switch the browser to full screen.
What viewers see
- Departure Board columns: Time, Course, Tags, Appointment Name, Room, Organizer, Status, and Minutes until event.
- Lobby Board shows Time, Title / Course, Organizer, Status, and Room in large rows.
- Status reads Now while the appointment runs, Soon when it starts within the next 60 minutes, Later for anything after that, and Ended once it is over.
- The footer shows the current range and the countdown, for example "Showing 1-10 of 24 · next page in 8s".
- If nothing matches today, the screen shows No appointments found.
Edit or delete a monitor
In the monitors table, click ⋯ at the end of the monitor's row.
Click Edit to change any setting, then click Save. Screens using that monitor's URL pick up the new settings within about 15 seconds; the URL stays the same.
Or click Delete, then confirm Delete Calendar Cast? with Delete. This cannot be undone.
Best practices
- Create one monitor per physical screen, and name it after its location so you can find it later.
- Use Rooms or Locations for screens in a specific building, and Courses for screens in a department.
- Use Departure Board for busy days with many appointments, and Lobby Board for screens people read from a distance.
- Turn on the app download banner in public areas where new students pass by.
Common pitfalls
| Pitfall | What happens | What to do |
|---|---|---|
| Expecting tomorrow's schedule | The screen stays empty or short | Calendar Cast only shows today's appointments |
| Too many filters | Fewer appointments than expected, or No appointments found | Check the Appointment Category setting and the selected courses, rooms, and locations |
| Link shared publicly | Anyone with the link can see the schedule | Only open the URL on screens you control |
| Calendar Cast missing in Settings | You cannot set up monitors | Ask an administrator to add the Calendar Cast settings permission to your role |
| Page switch too fast | Viewers cannot finish reading | Raise Seconds until page switch or lower Items per page |
FAQ
Do viewers need to sign in?
No. The display URL opens without a Fuxam account, which is why you should only use it on screens you control.
Can I show more than one building?
Yes. Select several Locations or Rooms on one monitor, or create a separate monitor for each screen.
What happens if I select nothing under Courses, Rooms, and Locations?
The monitor shows all of today's appointments in your institution, filtered only by Appointment Category.
Does the screen update on its own?
Yes. It keeps the clock and statuses current and flips pages automatically, so you don't need to reload it.
