Edit an application program
Update an application program's name, description, and linked study programs from the Forms tab quick edit sheet.
Editing an application program updates its administrative identity — the name admissions staff see in OrgHub, internal description notes, and which study programs are linked to this admissions cycle. These changes affect how the program appears in tables and filters and which degrees applicants can browse when the program is active and forms are published.
Editing is distinct from configuring operational settings (deadlines, active status, form publish state) and from archiving a closed cycle. Use this chapter when metadata or study program links need correction — not when you intend to end the intake entirely.
Why it matters
Admissions cycles evolve. Program names get refined (“Winter 2026” becomes “Winter 2026 — Late applications”), study program portfolios change mid-cycle, or a linked degree was selected incorrectly during setup. The edit workflow lets you correct those details without recreating the program and losing its forms and submission history.
Because study program links determine what applicants see on the Apply portal, keeping links accurate is as important as keeping CMS study program records current.
How it fits
The quick edit sheet changes the program record. It does not directly edit application forms or submissions in Applicants. After changing study program links, review forms and cohort assignments inside the program.

How to edit an application program
Open the edit sheet
Go to OrgHub → Management → Applications → Forms tab.
Select the row checkbox for the program you want to change.
Select Edit in the toolbar. The Edit application program sheet opens with the current values.
Update program details
Change Name or Description as needed.
Add or remove Study program links. At least one study program must remain selected.
Select Save. Changes apply immediately to the program record.

Best practices
- Review forms after link changes — if you remove a study program, confirm no published form still targets cohorts under that program in ways that would confuse applicants.
- Keep at least one study program — the system requires a link; if an intake truly covers no degrees, archive instead of stripping all links.
- Use Description for change history — note why links changed (for example, “Removed BBA — program deferred to 2027”) so future staff understand the record.
- Coordinate with CMS — if a study program was renamed in FuxamCMS, the link remains valid; applicants see the current CMS title on the portal.
Common pitfalls
- Expecting Active toggle in quick edit — deactivating a program requires the full Edit page, not the toolbar sheet.
- Removing study programs with live submissions — submissions persist, but portal browse paths and reporting filters may no longer match recruitment materials; communicate changes externally if applicants are mid-cycle.
- Editing instead of archiving — when an intake is finished, set Inactive or archive rather than renaming a closed program for a new cycle; create a new program for the next intake.

Will editing the name change what applicants see on the portal?
Applicants primarily browse study program names from FuxamCMS, not the application program record name. The program Name is mainly for administrator organization in OrgHub.
Can I add a study program mid-cycle?
Yes — add the link and ensure a published, public form covers the relevant cohorts. Newly linked programs appear on the portal when the program is Active and forms are configured correctly.
What happens to existing applicants if I remove a study program link?
Existing submissions are not deleted. Review linked forms and cohort assignments, and verify Applicants records still reflect the correct program context for ongoing reviews.
