July 9, 2026: Course Dashboard

Course Dashboard ⭐

Every course now opens with its own dashboard that brings the most important information together on one screen, so students and staff can see what matters at a glance.

Key features:

  • Customizable layout: Assemble the dashboard from various widgets to fit each course.

  • Attendance overview: See attendance at a glance directly on the course home page.

  • Announcements: Keep important announcements pinned and browse the full list without leaving the dashboard.

  • Recent chats: Jump directly into the latest course conversations.

  • Tasks & progress: Keep to-dos and insights on completed tasks in view so nothing is overlooked.

  • Quick links: Reach the most-used course areas with one click.

  • Optional view: Disable the dashboard to return to the classic course view — course titles are displayed consistently in both views.

How it works: Open any course and select the Dashboard tab; use the layout options to add or rearrange widgets, or turn the dashboard off if you prefer the classic view.

Exam Attempts & Rules

Staff get full control over exams and retakes — including attempt and withdrawal rules per module, appeals, accommodations, reporting exam incapacity, repeating within the same attempt, and controlling when results become visible.

How it works: Manage attempts, appeals, and scheduling under OrgHub → Exam Center; configure attempt and withdrawal rules per module under OrgHub → My Organization → Modules.

Time Tracking

Staff can now record and view each person’s working hours directly in user management.

How it works: Go to OrgHub → User Management → Time Tracking to view and manage time entries — including automatic stop for forgotten entries.

Login via SSO

Organizations can now enable Single Sign-On so members sign in via their own identity provider at their organization’s web address.

How it works: Configure and test the connection under Settings → SSO; members who sign in via your subdomain are then automatically guided through the SSO flow.

Course Booking & Waitlists

Members can book courses, join waitlists, and browse archived courses — with automatic reset of capacity and waitlist at the start of a new semester.

How it works: Open the course booking area to book or join a waitlist; a “Show archived” toggle displays past courses.

Insurance Number Management

You can now manage members’ statutory health insurance numbers and are notified about entries that could not be matched automatically.

How it works: Manage insurance data in a member’s profile; a dashboard widget lists unmatched insurance reports that require attention.

Tags for Content Blocks

You can now tag content blocks to organize learning material and find it more easily.

How it works: Add tags to a content block when creating or editing it.

Improvements

Study Program Grades & ECTS

Grade calculations are more accurate — with weighted study program grades, clearer final module grades, an ECTS breakdown tooltip, and the option to hide a study program’s total ECTS.

Roles, Permissions & Access

Permission settings are clearer and more secure — with highlighted critical permissions, a warning before enabling them, displayed access scopes on invitations, and reusable access packages when inviting or creating users.

User Data Transparency

Members get more transparency about which personal data is visible and how it is used.

User Export

User exports now split names into separate first and last name columns, can include profile pictures, and offer an ECTS overview export from user management.

Delete Confirmations

When deleting items, an impact analysis is now shown so you see what is affected before confirming — for example blocks that depend on each other.

Archived Views

Archivable lists across the organization now include a “Show archived” toggle so you can view past study programs, cohorts, and continuing education entries.

June 24, 2026: The Task System

New Features

Fuxam Tasks ⭐

You can now create, assign, and track tasks across your entire institution — from data requests and availability queries to document submissions — all in one central place.

Key features:

  • Three task types: Request profile data from users, query availability for the next semester, or request document completion — each with a tailored processing view

  • Batch sending: Create a task and send it to multiple recipients at once, with a visual progress overview to track completion status

  • Priority & deadlines: Set priority (low, medium, high) and due dates — the system automatically reminds recipients at configurable intervals (2 weeks, 1 week, 3 days, 2 days, 1 day before the deadline)

  • Task inbox: Every user sees open tasks in a new dashboard widget and on a dedicated “Tasks” page in the sidebar — no more lost requests

  • Lifecycle management: Create tasks as drafts first, schedule activation for a future time, pause or cancel active batches, and mark them as done

  • Bulk actions: Select multiple tasks at once to change status, priority, due date, or delete them in one go

  • Notifications & reminders: Automatic notifications on assignment, upcoming due date, or overdue status — including a manual “Remind now” option for admins

  • Admin overview: A full management table under user management with filter, search, and user-related task tabs

How it works: Navigate to “Tasks” in the sidebar to view your assigned tasks. Admins can create and manage task batches under Organization > User Management > Tasks.

Course Packages

You can now bundle multiple courses into a package and jointly manage enrollments, start and due dates, and access for the entire group.

How it works: Go to Organization > Course Management > Course Packages. Create a new package, add courses, and assign users — they are automatically enrolled in all included courses.

Course Booking Controls

You can now define how students find and book courses: either as an open catalog or filtered by their curriculum, with real-time conflict detection and capacity display.

How it works: Choose between “Generic” or “Curriculum-based” in the course settings. Students see a booking view with available seats and appointment conflict warnings.

Smart Document Certificates

You can now use your own uploaded Smart Document templates (PDFs) to create fully individualized certificates — with dynamic fields, conditional logic, and downloadable results.

How it works: Go to Settings > Service Contracts/Certificates and upload a PDF template. When creating a certificate content block, select “Smart Document” as the certificate type and the desired template.

CareMan & DATEV Financial Sync

You can now connect CareMan or DATEV to automatically export billing data, reconcile open items, and import payment status — directly via the integrations marketplace.

How it works: Go to Settings > Integrations > Marketplace. Enable CareMan or DATEV, enter your credentials, and start your first export or import on the integration detail page.

Custom Institution Subdomains

Your institution can now receive its own subdomain (e.g. your-institution.fuxam.app) and users are automatically redirected to the correct institution after login.

How it works: Go to Settings > General, find the new “Subdomain” section, enter your desired name, and save. Users are redirected to your own URL after login.

Calendar Cast Extensions

The Calendar Cast display now supports different layouts, appointment category filters, multi-select of categories, and automatic live updates — ideal for lobby screens and digital displays.

How it works: When configuring your Calendar Cast, you can now choose from different display layouts and filter which appointment categories are shown.

Grading Scheme per Course

You can now assign a specific grading scheme to individual courses instead of only using the institution-wide default.

How it works: In the course settings under the new “Assessments” section, select the desired scheme. All assessments within the course use the selected scheme.

Exam Center Redesigned ⭐

You can now manage exams, grades, and your students’ study progress through a completely redesigned exam center — with clearer tables, detailed module overviews, and optimized grading workflows.

Key features:

  • Module overview page: View module status, grades, descriptions, and exam dates at a glance for each student

  • Exam attempt tracking: Display detailed attempt overviews with status, submission date, and grade breakdown per student

  • Exam notes & reviews: Add and edit exam notes and reviews directly from the table via an improved rich-text dialog

  • Grading workflow: Grade students faster — with an updated grading interface for standard, pass/fail, binary, and participation assessments

  • Exam requests: Manage student exam requests in a dedicated tab within the exam attempt view

How it works: Navigate to the exam area of any course to see the new tables and views. Click a student’s module in the study plan to open the new module overview.

Smart Documents & Self-Service

Users can now generate documents themselves via a new self-service feature. The document editor has been extensively expanded — with custom field placement, free-text annotations, and a document history.

How it works: Administrators can configure self-service document templates in settings. Users then find available documents in their documents area and can generate them directly. The document editor now supports insert and edit modes in the toolbar.

Application Management & Question Catalog

The application system has been completely overhauled — with a central question catalog, reusable question blocks, a drag-and-drop form builder, and an improved application workflow including early registration and automatic saving.

How it works: Go to the Apply program area in your OrgHub. Use the new question catalog tab to manage your question pool. When creating application forms, you can drag and drop catalog blocks. Applicants now benefit from progressive saving and early registration.

Learning Path & Instructor View

Course instructors now have access to content block previews, survey analytics, and extended table actions for more efficient management of learning materials.

How it works: Open a course’s content blocks to see the new preview feature, bulk actions, and survey analytics. The learning path editing table also offers new column options and an improved layout.

Cohort Support in Scheduling

You can now assign cohorts (student groups) to appointments and use them as a resource in SmartPlan — making planning for specific groups easier.

How it works: Open SmartPlan and use the new cohorts section in the resource manager to add cohorts. When creating appointments, you can now select cohorts as participants. The auto-planner also supports selecting a primary cohort.

Extended Permissions & Access Packages

Administrators can now create reusable permission packages that bundle multiple access rights, and assign managed roles with fine-grained, entity-specific permissions.

How it works: Go to user management and open a user’s Access tab. There you can assign access packages and managed roles with specific scopes for individual courses or organizational units.

Impact Preview for Assessment Changes

Before saving changes to assessment schemes or academic rulesets, you now see a preview of how many students and which areas are affected — for informed decisions.

How it works: When editing an assessment scheme or ruleset version, the system automatically shows an impact overview before saving, including the number of affected students.

Calendar Sidebar Redesigned

The calendar sidebar has been completely overhauled — with an improved date picker, a clearer course selection with icons, and better cohort filters for more intuitive scheduling.

How it works: Open the calendar to see the redesigned sidebar with the new date picker, improved filters, and optimized calendar view creation.

Grades & Status in the Study Plan

The study plan table now shows grade and module status columns, so each student’s academic standing is visible at a glance.

How it works: Open any student’s study plan to see the new columns for grade, module status, and election status directly in the table.

Image Upload for Content Blocks

You can now upload images directly when creating or editing content blocks — with support for different display sizes.

How it works: When adding or editing an image content block in a course, use the new upload field to upload images from your device. Choose between normal and expanded display.

French Language Support

The platform is now available in French, and the Spanish translations have been updated for higher accuracy.

How it works: Go to your language settings and select French as your preferred language.

New Features

Course Content Database ⭐

You can now manage your content blocks centrally in a dedicated database, link them to individual courses, and keep everything in sync — so you maintain consistent learning materials across your entire organization.

Key features:

  • Single-block linking: Link individual content blocks from the database to specific courses and control exactly which content appears where

  • Automatic synchronization: Changes to a content block in the database are automatically synced to all linked courses, ensuring consistency across your programs

  • Bulk actions: Select multiple content blocks at once to link or sync them in bulk — saving time with large course libraries

  • Sync status indicators: Color-coded sync dots next to each content block show at a glance whether a block is synced, pending, or outdated — hover for detailed source and destination information

  • Content protection for linked courses: Courses linked to the database are automatically protected from direct editing, with clear prompts to edit in the database instead

  • File transfer: When syncing content blocks, all attached files (including SCORM packages) are automatically copied to the destination courses

  • Assessment visibility option: A new setting lets you show or hide assessment specifications for content blocks, so you control what students see

How it works: Navigate to a course’s content area and use the “Content Block Sync” option to link blocks from the database. Manage your central content library on the Learning Journey Database page, where you can create, edit, and sync content blocks with linked courses.

Time Tracking & Leave Management

You can now manage leave entitlements, view time-tracking analytics, and assign working-time models — all through a completely redesigned, modern interface.

How it works: Go to a user’s profile in User Management and open the “Time Tracking” tab. Organization-wide working-time models can be managed under Settings → Time Tracking.

Company Management

You can now create and manage companies within your organization, assign users, and maintain company contacts — ideal for managing partnerships with external businesses.

How it works: Enable company management in your organization settings, then navigate to OrgHub → Companies to add companies and assign users.

Statistics Export Redesign

The statistics export has been completely redesigned with a new three-step flow — select data, configure export settings, and process the export — for easier creation of official reports.

How it works: Navigate to OrgHub → Statistics to use the redesigned export workflow with the new list, configuration, and processing pages.

Email Management

You can now view, manage, and archive all sent emails on a dedicated email management page — with a searchable table, tabs for different email statuses, and real-time send progress.

How it works: Go to OrgHub → Emails to open the new email overview. When composing emails, you see send progress in real time.

Exam Withdrawal & Re-registration

Students can now withdraw directly from exams, with support for withdrawal deadlines, optional file attachments, and the ability to re-register after a withdrawal.

How it works: Open an exam in your study plan and use the new “Withdraw from Exam” option. Re-registration is possible until the deadline shown in the dialog.

Module Grade Calculation

Module grade calculation has been overhauled and now supports weighted multi-exam modules with percentage and numeric grading, enabling a more accurate and transparent grade overview.

How it works: Module grades are calculated automatically in the study plan. Hover over a module grade to see a detailed breakdown of the calculation.

Semester Address

Users can now store a semester-specific address in their profile, which is automatically synced with the higher-education statistics system.

How it works: Go to your profile to add or update your semester address. The address is automatically included in statistics exports.

Shared links in chat now show previews, and you can see who has read your messages with the new read-receipt feature.

How it works: Simply share a link in a chat to see the preview. Read receipts can be turned on and off in the chat channel settings.

New Features

Auto Planner ⭐

You can now automatically generate optimized appointment schedules for your courses with just a few clicks, saving hours of manual planning work.

Key capabilities:

  • Automatic scheduling: The planner creates conflict-free appointment plans based on your constraints such as time windows, rooms, and organizer availability

  • Draft management: Save generated plans as drafts, review them on the calendar, and accept or discard them before they go live

  • Resume drafts: Return to a previously saved draft and continue refining it, with automatic conflict detection if resources have changed

  • Booking conflict detection: Before accepting a plan, the system checks for scheduling overlaps and availability issues across all affected users

  • Weekly limits: Set a maximum number of appointments per week for each course to ensure balanced scheduling

  • Strategy selection: Choose between different planning strategies to prioritize what matters most for your institution

  • Timezone support: All scheduling respects your institution’s timezone for accurate date and time handling

  • Progress tracking: Watch the planner work in real time with a progress bar and stage indicators

Email System Overhaul

You can now send emails directly from almost any page where you manage users — courses, exams, applicants, cohorts, and more — using a redesigned full-page email editor.

How to use: Look for the “Send Email” button in toolbars across user management, course, exam, and applicant pages. The new email page opens with pre-filled recipients based on your current context.

Custom Email Domains

You can now configure your own email domain so that all emails sent from the platform appear to come from your institution’s address instead of a generic one.

How to use: Go to Settings > Email Templates, add your domain, configure the DNS records shown, and verify. Once verified, you can also set per-user sender prefixes under each user’s Mailing tab.

Exam Emails

You can now send targeted emails to exam participants with automatic access to exam-specific information like scheduled dates, rooms, and attempt details.

How to use: In the Exam Center, open any exam’s user list and click the “Send Email” button. The email editor provides exam-specific variables you can insert into your message.

Email Attachments & Delivery Tracking

You can now attach files to emails and track whether each email was delivered, opened, or bounced.

How to use: When composing an email, use the attachment area to upload files (up to 30 MB total). After sending, check the email history in a user’s Mailing tab to see delivery statuses.

Likert Scale User Ratings

You can now create Likert scale rating templates and assign them to courses, allowing structured feedback collection from users with customizable rating levels.

How to use: Configure Likert scale templates in course settings, then assign them to specific courses. Users will see rating prompts, and results are collected with full audit information.

Course Attendance Overview

You can now view and manage attendance across all appointments in a course through a visual sheet, with filtering options and CSV export.

How to use: Navigate to a course’s attendance section to see the attendance matrix. Use filters to narrow down results and export the data as CSV.

Redesigned Availability Requests

Requesting and managing availability from staff has been completely redesigned with a full-page workflow, time slot management, and better overview of responses.

How to use: In the Organization Hub under Planning, use the availability request flow to select users, define time slots, and send requests. Respondents get a dedicated full-page view to submit their availability.

Chat Emoji/GIF Picker & Files Tab

The chat now features a redesigned emoji and GIF picker for richer conversations, plus a dedicated Files tab to browse all documents and images shared in a conversation.

How to use: In any chat conversation, click the emoji button to access the new picker. Switch to the Files tab in the chat sidebar to browse shared files.

Push Notifications

You now receive real-time push notifications for important events like new messages, assignment updates, and deadline reminders.

How to use: Push notifications are enabled automatically. Manage your notification preferences under Account > Notifications.

Workbench Auto-Grading

The workbench now supports automatic grading with per-option point values, allowing you to assign different point values to each answer option for more nuanced scoring.

How to use: When editing a multiple-choice question in the workbench, assign point values to individual answer options. Grading is calculated automatically based on your configuration.

Survey Enhancements

Surveys now feature an embedded journey experience with progress tracking, so users can complete surveys directly within their learning journey with visual progress indicators.

How to use: Surveys assigned as part of a learning journey now appear inline. Progress is saved automatically, so users can pause and resume at any time.

Spanish (Chile) Language Support

The platform is now available in Spanish (Chile), extending language support for Latin American institutions.

How to use: Change your language preference in Browser settings to Español (Chile).

Draft Module Version Filtering

Draft module versions are now automatically hidden from curricula, study plans, and exam listings, so only active versions are visible to users.

How to use: This works automatically. When you create a new module version and leave it in Draft status, it will not appear in student-facing views until you publish it.

Content Block Deletion with Published Grades

You can now delete content blocks even when they have published grades, with a clear confirmation dialog explaining the impact.

How to use: Right-click or use the options menu on any content block to delete it. If grades have been published, you will see a confirmation prompt before proceeding.

All data tables across the platform now support draggable column reordering and saved view presets, letting you customize and save your preferred table layouts.

Re-enrollment & Study Status Management

You can now request specific data from users in bulk, such as personal information or statistical fields, and track the completion status of each request directly in user management.

How to use: Go to Organization > User Management, select the users you need data from, and choose “Data Collection Request” from the bulk actions menu. Users will receive a notification prompting them to fill in the requested fields.

Appointment Creator 3.0

You can now create appointments with a completely redesigned experience that suggests rooms, courses, and participants, detects scheduling overlaps with cohort members, and offers a compact view for quick entries.

How to use: Click “New Appointment” in the calendar to access the redesigned creation flow. The system will suggest relevant rooms, courses, and participants as you build your appointment.

Online Rooms

You can now mark rooms as online and add dedicated meeting links, so virtual appointments display the correct join link automatically.

How to use: Go to Organization > Rooms, create or edit a room, and toggle the “Online” switch to add a meeting link.

Content Block Editing

You can now edit all fields of content blocks after they’ve been created — including files, videos, links, and descriptions that were previously locked.

How to use: Open any existing content block and click edit. All fields are now fully editable.

Custom Fields for Certificates

You can now add custom fields with default values to your certificates for additional information like specialization or honors.

How to use: Go to course settings > Certificates and click “Add Custom Field” to include new fields.

Content Block Draft Recovery

Your unsaved content block drafts are now automatically saved, so you can restore them if your browser closes unexpectedly.

How to use: When reopening the content block creation form after an interruption, you’ll be prompted to restore your saved draft.

Chat Pinned Messages

You can now pin important messages in chat channels so your team can find key information quickly.

How to use: Select a message in any chat and choose “Pin.” View all pinned messages in the new “Pins” tab.

Activity tracking now covers significantly more actions including exam changes, applicant workflows, instructor assignments, document templates, leave of absence, and student status updates.

Smart Documents

How to use: Open any document in the platform as usual. You’ll notice a refreshed interface with improved editing tools. Administrators can create and manage document templates under Settings → Service Contracts, and users filling out documents will see the new viewer automatically.

Bulk course enrollment: A new “Import” button on the course participants page lets you quickly enroll multiple users in a course by simply uploading a CSV file with their email addresses.

The New Examination Regulations

We are excited to introduce a fundamental innovation that will transform how examination and study regulations are managed at your institution: the new Examination Regulations Management.

With this new module, you can define, manage, and version academic rules — such as exam requirements, ECTS specifications, or module structures — in one central place. Instead of maintaining rules manually and in a decentralized way, you can now create digital examination regulations (e.g. “Examination Regulations WiSe 2024/25”) and assign them flexibly.

Key capabilities at a glance:

Central management: Create and edit all examination regulations through a new, clear management interface.

Versioning: Create different versions of your examination regulations to track changes over time and manage different regulations for different cohorts.

Flexible assignment: Assign an examination regulation specifically to entire study programs, individual cohorts (year groups), or — in exceptional cases — even individual students. The system ensures that only one examination regulation is active at a time to avoid conflicts.

Automated validation: By linking examination regulations directly, the system ensures that the correct academic requirements automatically apply to students and are validated.

In addition to this new functionality, we have also fixed several bugs to further improve the stability and usability of the platform. For example, newly added cohorts in the assignment view are now displayed correctly immediately, without reloading the page.

This development creates a reliable and transparent foundation for managing your academic structures and ensures consistency across the entire system.

Room QR Codes, Improved Planning, and New Grade Management

We have made a series of comprehensive improvements in OrgHub to streamline the management of rooms, grades, and courses, and to simplify planning. Here is an overview of the most important changes:

Room & attendance management: We have introduced a new room check-in system using QR codes. Every room now has a public page that displays a QR code for the current appointment. This makes check-in much easier for participants, without requiring them to be signed in.

Improved grade management: The grading system has been fundamentally revised. Grades can now be assigned more flexibly, including independently of specific course content or courses. In addition, grade pages now show the average grade and a performance summary. All grade information can now be conveniently exported as a PDF document.

Optimized course & appointment planning: Course planning has been significantly improved through several features. You can now create and reuse templates for allowed planning dates. Globally excluded dates, such as public holidays, can now be defined centrally and are shown as blocked in all calendars. To make selecting instructors easier, planning now takes their personal availabilities and the modules they are allowed to teach into account and displays them as suggestions.

More efficient course & curriculum management: The course overview now includes an expandable detail view for each course, similar to user management. This enables quick insights and edits to course details such as banner, title, and description, as well as an overview of the agenda and connected modules, without leaving the page. In addition, the layout in the curriculum settings has been adjusted for better clarity.

The settings page has been completely redesigned and now features more intuitive navigation and an improved search function so you can find the options you need faster. In curricula, modules can now have submodules. These can then also be grouped and sorted so you can design your curriculum even more precisely.

Due Dates are now visible in the calendar

Never forget a due date again. We will now display all your due dates for all your tasks in the calendar.

This was one of our most requested features by students, we are hyped to finally launch this!

Student Absence Reason

Participants of an appointment can now upload documents and provide reasons for their absence from a certain appointment, helping you keep track of all student attendance.
Sending emails with absence notes is a thing of the past!

🆕 User Management Field Types

When adding columns to the user management table, you can now select from a variety of field types, ensuring that the data entered when adding a user is accurate.

You can currently choose between:

  • Text

  • Number

  • Select

  • Multi-Select

  • Date

We will be adding more options soon, including ID and Range, among others.

Easy appointment export

Exporting all your appointments or just a specific set is now easier than ever. We support .csv files or, for calendar syncing, .ical files.

Specific Role Profiles

Each role has its own settings to determine what will be relevant in the profile. This way, you can easily adapt the user profile page to suit your users’ needs. In our example, educators do not need a grades page or attendance record. You can customize this as you like, as the possibilities are endless here.

Workweek Calendar View

You can now see the calendar in a 5-day workweek view, excluding weekends, to help you focus on the most important days of the week for planning.

Course Appointment Colors 🎨

In the settings of a course, you can now define a color for appointments, which will then be displayed accordingly on the calendar, making it easier for participants to identify them.

A Better Structured Chat

We have enhanced our chat functionality and the way channels are displayed, providing a more structured overview and a more efficient method for searching users and chats, which we are confident will further enhance your overall experience.

Advanced User Management Filter

Find users more easily now by chaining filters in the user management. You can also use conditional statements, such as “Does not contain” or “Is not”, to help you find exactly who you are looking for.

We are now also saving all modifications you make to tables, such as changes to column widths or the number of rows per page.

Study Programs and Cohorts

You can now create study programs, such as “Physics”, and also assign them different versions, like “Physics Part-Time”, to distinguish them more effectively.
Within these study programs, you can create cohorts based on your curricula, which can then be planned, providing you with a comprehensive overview of all activities within your organisation.

Workbench Comments + Auto Reviews

You can now add comments on users work inside the workbench. This will greatly improve how you can give feedback to your users.

You can also now add automatic comments on auto-correct tasks. These will automatically give the user some input if they select the wrong answer.

Better Course Analytics

We have upgraded our analytics within the course and ensured that more relevant data is displayed for educators. Additionally, we have introduced a new score, the “Content Diversity Score”, which helps you improve the quality of each course.

User Groups Page

Now you can sort your user groups even better. They just got their own page in our OrgHub. This will make sorting and grouping users even easier for administrators.

Curricula (Beta)

Bundle all your modules into curricula, grouping them into terms, selectable focuses, and pathways. This will enable you to fully rebuild your academic offering in the digital realm. This is the second step of the largest campus management update to Fuxam. Next, we will introduce Cohorts, where you can utilise these curricula to plan and manage running cohorts within the system. Stay tuned.

Please note that this feature, like modules, is still in beta and will undergo numerous iterative improvements over the next 60 days.

When visiting the course, the student will be presented directly with the material they are currently working on and can start learning immediately, with zero latency. Some content blocks can be viewed or worked on directly in the journey without interrupting the flow, eliminating the need to navigate to different pages to work on your content.
