Assign to users
Understand how enrollment grants learning journey access — automatic paths from cohorts booking and bundles, plus manual Add Users and access overrides.
Students access a course learning journey when they are enrolled in the course. Fuxam assigns access automatically in most workflows; administrators can also add users manually when needed. There is no separate “assign journey” action — enrollment plus the Learning Journey course feature is all that is required.
Why it matters
Universities rarely enroll students one course at a time for every module. Access usually flows from study programs, cohorts, curricula, course booking, or bundles. Understanding those paths prevents the common support ticket: “I am in the program but cannot see the Learning Journey.”
Correct enrollment also protects academic integrity of progress: removing someone from the course revokes journey access tied to that enrollment.
How it fits
| Related area | Relationship |
|---|---|
| Study programs and cohorts | Cohort membership often drives module and course enrollment |
| Add users to a cohort | Places students where curriculum-linked courses can enroll them |
| Manage enrollments | CMS-side enrollment administration |
| User groups | Groups used in bulk enrollment and access patterns |
| Enroll in a bundle | One action enrolls the user in every course in the bundle |
| Book courses | Student self-enrollment where booking is open |
| Module catalog | Curriculum-linked module courses students may be pre-assigned to |
| Configure course features | Learning Journey must be enabled for the tab to appear |
| Open a course | Where enrolled users land to open the journey |
Key concepts
| Term | Meaning |
|---|---|
| Enrollment | Membership in the course that grants access to enabled tabs, including Learning Journey |
| Added From | Column on the course Users tab showing how the participant was enrolled |
| Waitlist / Admitted | Waitlisted users must be admitted before they can access the journey |
| No Access connection | Module-planning link that can block a user from appearing as an active course participant |
Automatic assignment on enrollment
When a user is enrolled in a course, they gain access to that course’s Learning Journey tab (subject to institution and course settings). Common enrollment paths include:
| Source | What happens |
|---|---|
| Study programme / cohort | Module planning or curriculum assignment enrolls the user in linked courses. |
| Course booking | The student books an open course from My Courses. |
| Course bundle | Bundle enrollment adds the user to every course in the bundle. |
| Group or access package | Bulk enrollment through user management. |
| Module catalog | Pre-assigned module courses from the student’s curriculum. |
In the course Users tab, the Added From column shows how each participant was enrolled (for example, Via Cohort, Course Booking, or Via Bundle).
Manual enrollment
When automatic paths do not apply — guest lecturers, late joiners, or one-off access — add users directly to the course:
Open the course and go to the Users tab.
Click Add Users and select individual users, groups, or cohorts.
Confirm the action. Users are added with the course default role and can open the Learning Journey tab.
Override or restrict access
- Course capacity — adding users may require confirmation when the course is full.
- Waitlist — users on the waitlist must be Admitted before they can access the learning journey.
- Course feature toggle — disable Learning Journey in course settings to hide the tab for all participants.
- Remove users — removing a user from the course revokes their access to the learning journey and progress tied to that enrollment.
Best practices
- Prefer cohort and curriculum-driven enrollment for regular degree students so Added From stays auditable.
- Use bundles when a set of courses should always share the same participant list.
- Admit waitlisted students deliberately — journey access is part of becoming a full participant.
- Before removing users mid-term, consider whether progress and submissions need to be retained for records; removal revokes journey access for that enrollment.
- Keep the Learning Journey feature on for content-first courses; hide it only when another delivery mode is intentional.
Common pitfalls
| Situation | What to check |
|---|---|
| Enrolled in program but no journey | Course enrollment missing; No Access module connection; waitlist not admitted |
| Tab missing for everyone | Learning Journey disabled in course settings or the institution capability is not enabled |
| Added user does not appear | Module planning blocked them — read the confirmation dialog |
| Bundle course empty for one student | Bundle enrollment incomplete; check each course’s Users tab |
FAQ
Is there a separate button to assign the learning journey?
No. Enrollment in the course plus an enabled Learning Journey feature is what grants access. Content visibility is then controlled by publish status, dates, and conditions.
Do teachers need to be enrolled to edit the journey?
Teachers and editors need permission to create and edit learning journey content for the course. They typically appear as course participants with appropriate roles; exact role setup is managed through permissions and course membership.
Can groups open the journey for many students at once?
Yes — select groups (or cohorts) in Add Users, or rely on automatic group and access-package enrollment paths. See also User groups.
