Edit an appointment
Change appointment fields, edit a single occurrence or a recurring series, reschedule by dragging, and notify attendees of updates.
Editing lets you keep an appointment accurate as plans change — a moved room, a new time, an added participant, a revised agenda. The most important decision when editing is scope: for a recurring series, are you changing one occurrence or the whole pattern? Getting that right is what keeps everyone’s calendar correct.
Open any appointment you can edit from the calendar grid or agenda, then adjust its details in the appointment editor.
Why it matters
Because an appointment feeds attendance, room bookings, and participant calendars, an edit ripples outward. Changing the time of a weekly lecture, for instance, should usually update every future occurrence — but fixing a one-week room swap should touch only that date. Choosing the wrong scope either leaves stale information on people’s calendars or accidentally rewrites sessions you meant to leave alone. Fuxam’s scope prompts exist precisely to make that choice explicit.
Before you start
- You need the same permission to create and edit appointments described in Create an appointment, for the institution or the relevant course.
- Decide whether the change applies to one occurrence or the series before you save — the editor will ask.
- Consider whether participants need to be notified (see Notify attendees below).
Open an appointment for editing
Open Calendar and locate the appointment.
Click the appointment block to open its detail panel.
Click Edit to open the full appointment editor with all fields.
You can also drag an appointment to a new time in day or week view; Fuxam saves the updated start and end times. Dragging is the quickest way to reschedule within the same week.
Edit fields
The editor uses the same sections as Create an appointment:
- Title and appointment type
- Organizers and Participants
- Date, time, and All day
- Location — room, address, or online meeting link
- Courses and Cohorts
- Recurrence
- Description / notes
Change any field and save when finished.
Single occurrence vs series
For recurring appointments, Fuxam asks which scope to edit. This is the crux of editing a series correctly.

If you change the recurrence pattern on a series, Fuxam may warn that the new pattern adds or removes dates. You can Apply new pattern or Keep all, shift time only depending on the dialog.
Notify attendees
When you save changes to an existing appointment, Fuxam may show Update Appointment:
- Notify Participants — send a notification about the change.
- Don’t Notify — save silently without alerting participants.
Choose based on whether participants need to know about the update.
Best practices
- Match scope to intent. Use Edit Occurrence for one-off exceptions and Edit Series / All appointments for permanent changes.
- Prefer “this and following” for changes that start midway through a term, so past sessions keep their historical detail.
- Reschedule small moves by dragging, but open the editor for anything involving room, participants, or recurrence.
- Notify on substantive changes, and add a short note in the description explaining what changed and why.
Common pitfalls
- Editing the whole series by accident when only one session moved — read the scope prompt before confirming.
- Expecting to change recurrence while editing a single occurrence — it isn’t available at that scope.
- Silent time changes that leave attendees unaware; notify when the change affects attendance.
