Apply portal settings
Enable Fuxam Apply, customize the public portal, manage institution-wide form templates, and understand applicant email notifications.
Apply portal settings are the institution-level controls that turn Fuxam Apply on for your organization and shape how prospective students experience the public Apply portal. This area covers enabling the admissions module, branding the portal applicants see, sharing the portal URL, maintaining reusable application form templates in Settings, and understanding how email notifications reach applicants throughout the admissions lifecycle.
Unlike day-to-day work in OrgHub — building programs, publishing forms, or reviewing submissions — portal settings establish the foundation. Admissions administrators configure them once (or revisit them each intake cycle) so every downstream workflow in application programs, application forms, and the Applicants area operates on a consistent, enabled product.
How this fits into Fuxam
Apply portal settings sit at the top of the admissions funnel. They do not replace program or form configuration — they unlock the module and supply shared resources (templates, notification behavior) that programs and forms depend on.
The diagram shows the typical setup order: enable Apply, optionally customize the portal and prepare templates, then create programs and forms in OrgHub, publish, and share the URL. Applicant-facing communication — confirmation on submit and review emails on decision — is automatic once submissions flow through the portal.
| Stage | Where it is configured | Handbook chapter |
|---|---|---|
| Turn on Apply | Settings → OrgHub → Application Management | This page |
| Portal branding | Apply portal customization (after enable) | This page |
| Reusable field layouts | Settings → Application form templates | Application form templates |
| Programs and intakes | OrgHub → Management → Applications | Application programs |
| Questionnaires | Forms inside each program | Application forms |
| Applicant email behavior | Built-in flows (not separate template editor) | Email notifications |
Key concepts
| Term | Meaning |
|---|---|
| Application Management | The institution feature that enables Fuxam Apply and reveals OrgHub admissions navigation. |
| Apply portal | The public site where applicants browse programs, complete forms, and track My Submissions. |
| Apply portal customization | Institution branding on the portal — custom title, logo, description, and footer text. |
| Application form template | A reusable field layout stored in Settings, copied into new forms at creation time. |
| Confirmation email | Automatic receipt sent when an applicant successfully submits a form. |
| Review email | Automatic email sent when staff set a decision status or complete field review. |
Templates and email behavior are documented in depth on their child pages. For the full admissions vocabulary — submission statuses, enrollment, the question catalog — see Fuxam Apply overview.

Email notifications
Automatic confirmation, decision, in-app, and reminder emails sent to applicants.
Enable Application Management
Before any admissions work appears in OrgHub, an administrator with permission to change institution settings must enable the module for the institution.
Go to Settings → OrgHub → Application Management.
Turn on Enable Application Management for your institution.
Save settings. OrgHub shows Management → Applications and related navigation items.
When enabled, additional options appear for Apply portal customization — custom title, logo, description, and footer text shown on the public Apply portal. Customization helps applicants recognize your institution and understand what they are applying for before they open a specific program form.
Apply portal URL
Share your institution’s Apply portal link with prospective students. Administrators can copy the URL from OrgHub → Management → Applications → Forms using the share control in the toolbar. The link follows the pattern /{language}/apply/{institutionId}.
The URL is institution-wide — one entry point for all published programs and forms. After copying it, pair distribution with publishing application programs so applicants see active intakes when they arrive. Marketing pages, open-day materials, and program brochures typically link here rather than to individual form URLs.
Roles and responsibilities
| Role | Typical portal-settings tasks |
|---|---|
| Admissions administrator | Enable Application Management, customize portal branding, maintain form templates, distribute the Apply URL. |
| IT / org admin | Enable Application Management, grant administrator settings access, and assign admissions permissions. |
| Form designer | Create and update application form templates so new forms start from consistent layouts. |
| Admissions evaluator | Usually does not change portal settings; relies on enabled Apply and understands email notifications when making decisions. |
Exact duties vary by institution. Task guides on child pages list the permissions required for each action.
Where to start
If you are setting up admissions for the first time, work through portal settings before OrgHub program work:
- Enable Application Management (steps above) and customize the portal if desired.
- Review or create application form templates for common intake layouts.
- Create an application program and build forms — applying a template when you create each form.
- Publish and copy the Apply portal URL from the Forms toolbar.
- Read Email notifications so staff know what applicants receive automatically — and when to use manual communication instead.
