Create an application program

Create a new application program, link it to at least one study program, and prepare the container for application forms and publishing.

Creating an application program is the first step in opening a new admissions intake in Fuxam Apply. The program record gives that intake a name, links it to the study programs applicants will browse on the portal, and becomes the parent container for application forms you build next.

A program on its own does not accept applications — you must add, configure, and publish at least one form before the public Apply portal can collect submissions.

Why it matters

Every admissions cycle needs a clear administrative boundary. Without a program record, forms float without context, study program links are unclear, and filtering submissions by intake becomes unreliable. The application program is that boundary: it tells Fuxam which degrees belong to this intake, which forms applicants use, and whether the cycle is currently open.

Universities often create one program per intake window (for example, “Winter 2026 Applications”) or per distinct recruitment campaign. The naming convention is yours — what matters is that staff can identify the cycle at a glance and applicants see the correct linked study programs on the portal.

How it fits

Before you create a program, confirm:

Application Management is enabled (Settings → OrgHub → Application Management — see Apply portal settings).
The study programs (and ideally their cohorts) you plan to open for applications already exist in FuxamCMS.
You have permission to create application programs.

The program sits between CMS academic structure and Apply configuration. After creation, the typical sequence is: build forms → configure settings → publish → monitor Applicants.

Key concepts

How to create an application program

Open the create sheet

Go to OrgHub → Management → Applications → Forms tab.

Select Create program in the toolbar. The Create application program sheet opens on the right.

Fill in program details

Enter Name — a label for this admissions cycle or program (for example, “Winter 2026 Applications”). This field is required.

Optionally enter Description — internal notes visible to administrators.

Select at least one Study program — applicants who choose this program in the Apply portal can apply through forms linked to it. This field is required.

Select Create. Fuxam creates the program and keeps you on the Forms tab.

What happens next

After Create, the new program appears in the Forms tab table. Select its name to open the program’s Forms table, where you:

Add a form — see Build an application form.
Assign eligible cohorts — so applicants can select the correct intake on the portal.
Set submission deadlines — see Configure program settings.
Publish — see Publish an application program.

Until at least one form is published and set to Public, the program is a configuration shell only.

Best practices

Name programs by intake, not by degree — when one cycle covers multiple study programs, use a cycle label (“Winter 2026 Applications”) rather than a single degree name, unless your institution opens one program per degree.
Create CMS structure first — study programs and cohorts should exist before linking them, so form cohort assignment works immediately.
Use Description for internal context — note recruitment campaign codes, responsible coordinators, or planned open/close dates for colleagues who inherit the program later.
Plan one primary form per intake path — most cycles use one published form per cohort group; avoid duplicating programs when a single program with multiple forms suffices.

Common pitfalls

Creating a program without cohorts — study programs link at the program level, but applicants select cohorts on the portal. Forms need eligible cohorts assigned or applicants cannot complete the right intake path.
Expecting submissions immediately — a newly created program accepts no applications until forms are built, published, and public.
Linking the wrong study program — double-check CMS program names; applicants browse study program titles, not your internal program record name.
Missing permissions — without permission to create application programs, the Create program action is unavailable.

FAQ

Can I link multiple study programs to one application program?

Yes. Select more than one Study program when creating (or editing) the program. Applicants can then browse each linked degree on the Apply portal when the program is active and forms are published.

Do I need a separate application program for every degree?

Not necessarily. Use one program per admissions cycle when several degrees share the same intake window. Create separate programs when cycles, deadlines, or form requirements differ materially.

Where do applicants see the program name I enter?

Applicants browse study program names on the public portal, not the application program record name. The program name is primarily for administrator organization in OrgHub.
