View Apply analytics

Open the Application Programs Analytics tab to filter form-session KPIs by study program, cohort, and started date, and read completion rate, average time, status, and trend charts.

Analytics is the Application Programs tab that shows institution-wide application form funnel metrics: how many applicants started a form, how many submitted, completion rate, average completion time, a completion-status chart, and a submission trend over time. Open it from Campus Management → Application Programs → Analytics.

Why it matters

Admissions teams need a single place to see whether the Apply portal is converting started sessions into completed submissions, and whether a study program or cohort is underperforming. Without Analytics you only see individual submissions on the Pending / In progress / Accepted tabs and cannot compare funnel health across forms.

Before you start

Requirement Detail
Feature Institution feature application_management must be enabled (otherwise Application Programs redirects to Home).
Permission read:application-programs — required to open Analytics.
Data At least one application form must exist under an application program; metrics come from form sessions (starts and successful submits).

Open Analytics

Go to Campus Management → Application Programs (path: /dashboard/orghub/my-organization/application-program).

Select the Analytics tab in the underline tabs (next to Pending, In progress, Accepted, Forms, and the question-catalog / form-templates tab).

Confirm the page shows the filters section, then KPI cards and charts. If there is no analytics payload, you see an empty state for missing data instead of the KPI grid.

Filter the metrics

Use the Filters section. Each control updates the URL query and reloads the KPIs.

Control What it does
Study program Limit sessions to a study program, or keep All.
Cohort Limit to a cohort (options depend on the selected study program; duplicates get a short suffix). Choose All to clear.
Started from / Started to Date-time range on when the applicant first started the form session (firstStartedAt).

Changing study program can clear a cohort that does not belong to that program.

Metrics

KPI Meaning
Started Count of form sessions that match the filters.
Submitted Sessions with a successful submit timestamp.
Completion rate Submitted ÷ Started × 100 (shown with one decimal).
Avg. time Average timeToCompleteSeconds for submitted sessions — shown in minutes (Nm) when ≥ 60 seconds, otherwise seconds (Ns), or - when unknown.

Charts

Chart What you see
Completion status Donut of Submitted vs In Progress (started but not submitted). Segments with zero are omitted.
Submission trend Line chart by calendar day of starts: Started and Submitted series for the filtered sessions.

Empty charts show their own empty states when every value is zero.

Best practices

  • Start with All filters, then narrow by study program when a program looks weak on the overall completion rate.
  • Use Started from / to around an intake window so older cycles do not dilute the trend.
  • Compare Analytics with the applicant tabs — Analytics counts form sessions; Pending / In progress / Accepted work on submissions and application status.

Common pitfalls

Symptom Likely cause What to try
Redirected to Home Feature application_management off Enable Apply / application management for the institution
Permission / access error Missing read:application-programs Ask an admin for the permission on your role
Empty state / zeros No forms, or no sessions in the date / program filters Widen date range; set Study program and Cohort to All; confirm forms are published

FAQ

Is this the same as LMS course analytics?

No. This Analytics tab is only for Fuxam Apply form sessions under Application Programs. LMS course and content-block analytics live under the LMS grading / analytics guides.

Does Accepted on the applicant tabs equal Submitted here?

No. Submitted means the applicant successfully submitted the form session. Applicant tab statuses (Pending, In progress, Accepted, and beyond) are admissions workflow states after (or around) submission.

Why did the old form Monitoring page disappear?

Per-form Monitoring URLs now redirect to this institution-wide Analytics tab so you compare across forms in one place.
