Room utilization

Read how heavily a room is booked using the Calendar and Analytics tabs — today's hourly activity and this week's daily appointment counts.

Room utilization is the picture of how heavily a bookable space is used, based on the appointments scheduled against it. In Fuxam, you review utilization from a room’s detail page in OrgHub → Database → Rooms: the Calendar tab shows the booking timeline, and the Analytics tab summarizes recent occupancy patterns so facilities and planners can see pressure points without opening every appointment.

Utilization is derived from scheduled appointments, not from door sensors or badge swipes. If the calendar is incomplete, utilization understates real use; if ghost bookings linger, it overstates it.

Why it matters

Universities pay for scarce space. Without utilization insight:

  • Popular halls stay chronically over-booked while similar rooms sit idle.
  • Maintenance windows are planned without knowing peak teaching days.
  • Capacity investments (extra seats, new AV) target the wrong rooms.
  • Timetable staff lack evidence when asking programs to spread demand.

Reading utilization regularly — especially before exam seasons or campus moves — turns the room directory from a static list into an operational feedback loop.

Utilization sits downstream of assigning rooms to appointments and upstream of estate decisions (status changes, capacity edits, amenity upgrades) described in Edit a room.

Before you start

  • Open OrgHub → Database → Rooms and select the room you want to inspect.
  • Prefer rooms that are Active and regularly booked; inactive rooms may show little or no recent activity.
  • Remember that counts come from appointments already on the calendar for that room.

Open Calendar and Analytics

Go to OrgHub → Database → Rooms and open the Rooms tab.

Select a room name to open its detail page.

Open the Calendar tab to review upcoming and past bookings for that space.

Open the Analytics tab to review utilization summaries for the room.

What utilization shows

Utilization summaries focus on appointment activity for the selected room:

Slice Meaning
Today How appointments are distributed across the hours of the current day — useful for spotting lunch-time gaps or evening peaks
This week How many appointments fall on each day from Monday through Sunday — useful for comparing teaching-heavy weekdays with quieter ends of the week

Together, these views answer two practical questions: When today is the room occupied? and Which days this week carry the most sessions?

Counts reflect appointments linked to the room, not headcount inside the room. A one-hour seminar and a three-hour lab each contribute according to how they are scheduled; attendee numbers are a separate concern handled by capacity badges at booking time.

Using utilization in planning

Spot bottlenecks

If this week shows heavy counts on several weekdays and today shows few free hours, treat the room as constrained. Consider spreading demand across similar rooms with matching amenities and capacity, or reviewing whether alternate setups would unlock more suitable spaces elsewhere.

Find under-used space

Low weekly counts on a well-equipped room may mean staff do not know it exists, amenities are incomplete, or the name is hard to search. Improving tags and amenities often raises utilization faster than building new rooms.

Time maintenance wisely

Schedule status changes for low-activity windows when possible. Pair utilization review with scheduled status changes so renovations land on quieter days.

Capacity decisions

Utilization does not replace capacity planning, but it informs it. A room that is always booked yet frequently shows capacity warnings may need a larger sibling space; a large hall with sparse bookings may be a candidate for subdividing layouts via additional setups — framed as estate strategy, not as an automatic system recommendation.

  • Review utilization for flagship halls at least once per teaching week during peak term.
  • Clean ghost or placeholder appointments so Analytics reflects real demand.
  • Compare rooms within the same location before concluding the campus is “full.”
  • Combine utilization with amenity filters: idle rooms without required equipment are not true alternatives.
  • After major timetable publishes, re-check Analytics — published schedules often change weekly peaks overnight.

Common pitfalls

  • Equating empty calendar slots with “the campus has spare capacity” without checking amenity and capacity fit.
  • Reading today’s quiet morning as a free week — always check the weekly pattern.
  • Ignoring that utilization follows appointments: private double-bookings outside Fuxam will not appear.
  • Changing a room to Inactive based on one quiet week during a break period.

FAQ

Does utilization show how many people attended?

No. It reflects scheduled appointments for the room. Attendee fit is handled through capacity when you book — see Assign room to appointment.

Why does Analytics look empty?

The room may have few or no appointments this week, may be Inactive, or bookings may use free-text addresses instead of the registered room. Confirm appointments actually select this room.

Can I see utilization without opening each room?

The room detail Analytics and Calendar tabs are the handbook paths for per-room insight. Institution-wide estate reporting, when your processes require it, typically starts by sampling high-demand rooms and locations first.

Does changing status rewrite utilization history?

Status controls whether the room can be booked going forward. Past appointments remain on the calendar and still inform how busy the room was; they are not erased by a status change.
