Create an appointment

Add a new calendar appointment with title, date and time, location, attendees, recurrence, and an online meeting link.

Creating an appointment is how a session becomes real for everyone involved: once you save it, the event appears on your calendar and on the personal calendars of every participant you invite. A well-formed appointment carries all the information attendees need — when, where, who, and how to join — so it doubles as the single source of truth for that session.

You can create appointments from the main calendar when your role includes that permission.

Why it matters

An appointment in Fuxam is more than a reminder. It is the anchor that other features attach to: attendance in the LMS is recorded against it, room bookings are validated against it, and notifications about changes are sent to its participants. Taking a minute to fill it in completely — a clear title, the right participants, an accurate location — prevents a cascade of downstream confusion, from students turning up to the wrong room to attendance that cannot be matched to a session.

Before you start

  • Confirm you have permission to create and edit appointments. If you do not see the + button, ask your administrator to check your calendar permissions.
  • Know your audience: individual users, a group, a cohort, or a course layer.
  • If the session is in person, know which room you intend to book; if it is online, have the meeting link or connected provider ready.

Open the appointment creator

Open Calendar from the sidebar.

Click the + button in the calendar toolbar, or click a time slot in the day or week view to start a draft at that time.

The appointment creator opens as a dialog or popover.

Fill in the appointment

Complete the sections in the creator. Each maps to a real need attendees have when they look at the event later.

Title

  • Title — the name shown on the calendar grid and in notifications.

You can also set an appointment type (when configured for your institution) to categorize the event. Clear, consistent titles (“Lecture 3 — Thermodynamics”) make crowded calendars far easier to scan than vague ones (“Class”).

Date and time

  • Choose the date, start time, and end time (or use the duration selector).
  • Enable All day for full-day events that span entire days without specific times.

Location

Under Location, add one or more of:

  • Room — pick an institution room (availability may be validated against conflicts).
  • Address — a physical address for in-person events.
  • Online meeting link — paste a URL or select a connected video provider (for example Zoom or BigBlueButton when integrated).

The format is shown as In-person, Online, or Hybrid depending on what you select. A hybrid event (a room and an online link) lets remote and in-person attendees join the same session.

Attendees and organizers

  • Organizers — people responsible for the session. Organizers can typically manage the appointment later.
  • Participants — users, groups, cohorts, or course layers who should attend.

Link Courses and Cohorts when the appointment belongs to specific teaching contexts. Inviting a cohort or course layer is usually better than adding people one by one: membership stays in sync, so students who join later are covered automatically.

Recurrence

Open Recurrence to repeat the appointment:

  • Choose a preset (for example daily or weekly) or Configure recurrence for custom rules.
  • Use Free select to pick individual dates manually.

Recurring appointments create a series of linked occurrences. This is ideal for a weekly lecture or a standing meeting — you define the pattern once, and Fuxam generates every session.

Notes

Add optional Description / notes that appear in the appointment detail panel. Use this for agendas, prep instructions, or links to materials.

Save

Click Save (or the create action in the footer) to add the appointment. It appears on your calendar and on the personal calendars of invited participants.

Best practices

  • Invite by cohort or course, not by person, whenever the audience matches a defined group — it keeps rosters accurate over time.
  • Add the join link at creation for online sessions so attendees aren’t left hunting for it at start time.
  • Set recurrence up front for repeating sessions instead of copying single events; a real series is far easier to edit or cancel later.
  • Write descriptive titles that read well out of context, since they appear in notifications and on busy grids.

Common pitfalls

  • No visible + button — your role does not include permission to create appointments; ask an administrator.
  • Room conflict warnings ignored — double-booking a room causes real-world clashes; resolve conflicts before saving.
  • Forgetting recurrence — a session you’ll repeat is much harder to manage as many one-off events.
