Module planning & organizers
Plan which curriculum modules run in each academic term and assign primary and secondary responsible staff using the Available Organizers dialog.
Module planning determines when each module in a study program’s curriculum is offered and who is responsible for running it. It is the operational bridge between the academic blueprint (modules and curricula) and term-by-term delivery: you place module versions into Chronology terms, then attach organizers so staffing and course access have a clear owner.
Planning is done within a cohort’s Module Planning section, from a study program version’s Module Planning view, or from the institution-wide Planning page under Management.
Why it matters
Universities rarely deliver an entire curriculum at once. Each term, academic planners decide which units run for which intakes, who owns them, and how that maps to rooms, courses, and exams later. Without a shared planning layer:
- Curriculum modules never land in a concrete semester map.
- Staffing decisions live in spreadsheets that drift from OrgHub.
- Monitoring cannot see teaching load against quotas.
- Course linking and organizer-only visibility lack a planned offering to attach to.
Module planning gives one place to answer what runs this term and who is responsible before schedules and enrollments harden.
How it fits
Modules come from the cohort’s assigned curriculum. Terms come from Chronology. Study programs and cohorts scope which students and blueprints are in play. Organizer assignment (also covered in depth on Assign a module organizer) attaches people and workload. Rooms become relevant when planned offerings turn into appointments.
For how term names, grouping, and moves behave in the planning grid, see Term effects on planning.
Key concepts
| Term | Meaning |
|---|---|
| Planned module | A curriculum module version placed into a specific academic term for a program or cohort |
| Term | An organization study period from Chronology (for example, Winter Semester 2025/26) used as the planning time axis |
| Organizer | Staff member responsible for a module — primary and optionally secondary |
| Workload allocation | How much of the module’s workload is assigned to each organizer |
| Scope warning | Informational alert when an organizer’s total assigned workload exceeds their configured scope |
Open module planning
You can access planning in two main ways:
- Institution-wide — go to OrgHub → Management → Planning to see all modules being planned across the institution.
- Per cohort — open a study program’s cohort and select the Module Planning tab to plan just for that cohort.
You can also open Module Planning on a study program version for program-scoped planning. The same term grouping and organizer concepts apply at every level; only the filter scope changes.
Plan a module
Use this flow when placing a curriculum module into a concrete term.
In the module planning view, locate the module you want to plan. Modules come from the cohort’s assigned curriculum.
Select a term for the module — the academic term in which it will be offered. Terms are configured in Chronology.
Save the planning assignment. The module now appears in the selected term.
Assign organizers
An organizer is the staff member responsible for a module. You can assign a primary responsible person and one or more secondary responsible persons. For the full Available Organizers dialog, conflict resolution, and visibility rules, see Assign a module organizer.
Open the planned module and select Assign organizers or open the Available Organizers dialog.
In the dialog, search for and select the primary responsible person.
Optionally, add one or more secondary responsible persons.
Set the workload allocation for each organizer — this records how much of the module’s workload is assigned to each person.
Review the scope warnings. If an organizer’s total assigned workload exceeds their configured scope, Fuxam displays a warning so you can adjust allocations before saving.
Save the organizer assignments.
Adjust or remove planning
To change a module’s planned term or organizer, reopen the module in the planning view, make your changes, and save. To remove a module from planning entirely, use the remove or unplan action in the module’s row.
After changes that affect load or quotas, return to Planning monitoring and refresh data so charts and targets reflect the new plan.
Best practices
- Plan from the curriculum outward — confirm the cohort’s curriculum and module versions before assigning terms and organizers.
- Keep Chronology stable during peak planning — renaming or reshaping terms mid-cycle confuses grids; coordinate term edits with planners (see term effects on planning).
- Assign a clear primary organizer — secondary organizers help with coverage, but one primary owner keeps accountability clear for course access and follow-up.
- Treat unassigned-term rows as backlog — clear them before the term starts so monitoring and course planning are not working from incomplete data.
- Reconcile with rooms and courses after the academic map is set — place modules and organizers first, then attach delivery courses and room bookings.
Common pitfalls
| Symptom | Likely cause | What to try |
|---|---|---|
| Expected module missing from planning | Curriculum not assigned, or wrong module version on the curriculum | Check cohort curriculum and curricula |
| No useful term selector / empty groups | Terms not created or inactive in Chronology | Create or edit terms in Chronology |
| Scope warnings on many organizers | Allocations exceed configured scopes for the term | Reduce workload shares or redistribute secondary roles before finalizing |
| Monitoring numbers look wrong after planning | Data not refreshed, or quotas not configured | Refresh in Planning monitoring; confirm scopes and quotas settings |
FAQ
Is institution-wide Planning different from cohort Module Planning?
Same concepts, different scope. Institution-wide OrgHub → Management → Planning shows modules across the institution. Cohort Module Planning filters to that intake. Use the institution view for cross-program staffing; use the cohort view when building one intake’s semester map.
Do I have to assign organizers when I plan a term?
You can place a module into a term first and assign organizers later. Complete organizer assignment before you rely on organizer-only course visibility or quota monitoring, because those flows depend on who is attached and how workload is allocated.
