Emails
Compose and send emails to Fuxam users from the Emails page — recipients, templates, sent history, and drafts.
The Emails page lets you compose and send emails directly through Fuxam to other platform users — for example, to notify a group of students about a schedule change, or to send a reminder to participants before an exam. Unlike Chat (real-time, in-app threads) or the Info Hub (published announcements with audience targeting), email is the right channel when you need a traditional message record delivered to recipients’ inboxes, with a subject line and body you control at send time.
Emails is an institution-wide sidebar tool in Fuxam Web. It complements LMS workflows: when composing, you can address course participants alongside individual users and groups, connecting formal outreach to the people enrolled in your offerings without leaving the platform.
Why it matters
Universities still rely on email for formal, auditable communication — deadline reminders, individualized follow-ups, and notices that recipients expect in their inbox rather than inside an app feed. Keeping outbound email inside Fuxam means recipient selection can draw on enrolled users and groups already defined in the platform, and sent messages remain listed in Fuxam for later reference. That reduces the risk of misaddressed personal email and keeps teaching staff from maintaining parallel mailing lists outside the LMS.
How it fits
Emails is one of three channels in LMS Communication:
| Channel | When to use it instead of email |
|---|---|
| Chat | Quick back-and-forth, course channel discussion, informal coordination |
| Info Hub | Official institution-wide or targeted posts with read tracking and a persistent feed |
| Emails | Formal notices to selected Fuxam users; reminders; messages where a traditional email record is expected |
Email in Fuxam is distinct from invitation emails managed under Invite email settings and from applicant correspondence in Apply. The Emails page is for composing outbound messages to people already on the platform.
The Emails item appears in the left sidebar alongside other institution-wide tools described in Navigate the dashboard. It is not a per-course tab; reach course participants by selecting them in the To field when composing.
Key concepts
| Term | Meaning |
|---|---|
| Composer | The new-email interface where you set recipients, subject, and body before sending. |
| To | Recipient field — individual users, groups, or course participants. |
| Template | A preconfigured email layout your institution may offer, optionally with dynamic variables such as recipient name or course details. |
| Sent email | A message you have already sent, listed on the Emails page with date and recipient details. |
| Draft | An unsent message Fuxam saves automatically when you close the composer without sending. |
| Email sending access | Your role must allow sending email through Fuxam for the Emails sidebar item to appear. |
Open Emails
Click Emails in the left sidebar.
If Emails is not visible, your role likely does not include permission to send email through Fuxam. Contact your administrator or see Roles and permissions.
Compose a new email
Click New email (or the compose button) at the top of the Emails page.
Fill in the email details:
- To — select the recipients. You can add individual users, groups, or course participants.
- Subject — the email subject line.
- Body — compose your message using the rich-text editor.
Click Send to send the email immediately.
When addressing a whole cohort, selecting course participants in To is often faster and less error-prone than picking students one by one — especially before exams or after schedule changes. Confirm you selected the correct course offering if several share a similar name.
Use templates and variables
Fuxam’s email composer supports templates with dynamic variables — for example, automatically inserting a recipient’s name or course details. If your institution has configured email templates, you can select one from the template picker when composing.
Templates help keep tone and layout consistent across a faculty or registry team. Variables reduce manual copy-paste errors when the same structure goes to many recipients. If no templates appear, your institution may not have configured any yet — you can still compose free-form messages.
View sent emails
Sent emails appear in the Emails list with the date and recipient details. Click any email in the list to open its full content.
Use the sent list as a lightweight audit trail: before resending a reminder, open the earlier message to confirm wording, recipients, and date.
Email drafts
If you close the email composer without sending, Fuxam saves a draft automatically. Open Emails and look for the draft in the list to continue editing.
Drafts are useful for longer messages you prepare over multiple sessions, or when you need a colleague to review text before you click Send.
Best practices
- Match channel to intent. Use email for formal, individualized, or inbox-bound communication; use course Chat for quick questions and the Info Hub for official notices everyone must be able to find later.
- Verify recipients before sending. Course names and group labels can look alike. Open the To selection carefully when multiple cohorts run in parallel.
- Write a clear subject line. Students and staff triage inbox volume by subject; put the course name or action required up front when helpful.
- Use templates when available. They keep branding and mandatory disclaimers consistent — especially for recurring reminders.
- Check sent history before duplicating. Avoid sending the same reminder twice by reviewing the Emails list first.
Common pitfalls
| Problem | What to check |
|---|---|
| Emails not in sidebar | Your role may not allow sending email through Fuxam — ask an administrator |
| Recipient missing from To | They may not be a platform user, may be inactive, or may not be in the group or course you selected |
| Expected template not listed | Institution may not have configured templates for your role |
| Students say they did not receive mail | Delivery depends on email infrastructure outside Fuxam; confirm addresses in User Management and institutional spam policies |
| Official policy only sent by email | Consider also publishing to the Info Hub so the notice lives in the institutional feed with read tracking |
FAQ
Can students send email through Fuxam?
Only users whose role allows sending email through Fuxam see the Emails sidebar item. Most student roles receive email but do not compose institution-wide outbound mail through this page.
Is this the same as invitation emails?
No. Invite email settings control activation emails when users are invited to the institution. The Emails page is for composing messages to existing platform users.
Can I email people outside my institution?
The documented composer addresses Fuxam users — individual users, groups, and course participants on the platform. For external correspondence, follow your institution’s usual email tools and policies.
How do I email everyone in my course?
When composing, add course participants in the To field and select the relevant course. See Open a course for how course enrollment relates to participant lists.
