Application programs

Create and manage application programs — the admissions containers that link study programs to application forms, intake windows, and the public Apply portal.

An application program is the top-level admissions offering in Fuxam Apply. It groups one or more study programs with the application forms applicants complete on the public Apply portal. Each program can hold multiple form versions, submission deadlines, and cohort assignments — giving admissions teams a structured container for an intake cycle (for example, “Winter 2026 Applications”) without mixing unrelated offerings in one place.

Programs are the bridge between academic planning in FuxamCMS and public-facing admissions in Apply. Staff configure programs in OrgHub; applicants never see the program record directly — they browse linked study programs, pick an intake cohort, and submit through a published form. Submissions then appear in the Applicants area for review and enrollment.

Why it matters

Universities run admissions in cycles: each intake needs a clear boundary — which degrees are open, which cohorts accept applications, when the window closes, and which questionnaire applicants must complete. Without a dedicated container, forms, deadlines, and submissions from different intakes get tangled, making reporting and archival difficult.

Application programs solve that by giving each admissions cycle (or offering bundle) its own record. You link the academic products applicants care about (study programs), attach the forms they fill in, control whether the intake is live, and eventually archive the cycle while preserving historical submissions for audit and reporting.

How this fits into Fuxam

Application programs sit at the center of the Fuxam Apply funnel. Upstream, study programs and cohorts must exist before you can link them. Apply portal settings enable the product and supply institution-wide templates and email behavior. Downstream, published forms feed the public portal, submissions land in Applicants, and accepted candidates move toward enrollment in their intake cohort.

Program lifecycle

A typical application program moves through four phases. The handbook chapters in this section map to each phase:

Between Create and Publish, you also build forms inside the program (see Application forms). A program without at least one published, public form does not accept submissions from the Apply portal, even if it is marked Active.

Application program vs study program

These terms sound similar but serve different roles:

One study program can appear in multiple application programs over time (different cycles). One application program can link multiple study programs when applicants apply to several offerings through a shared intake (for example, related master’s tracks opened in the same window).

Applicants browse study programs on the portal; administrators manage application programs in OrgHub. The link between them determines which degrees appear under which admissions cycle.

Key concepts

Term Meaning
Active / Inactive Whether the program participates in live admissions. Inactive programs are hidden from the default active filter and stop accepting new public submissions.
Forms table The list of application forms inside a program — each with its own deadline, publish state, and cohort assignment.
Submission deadline When applications close — configured per form, with optional program-level fallback.
Published / Public A form must be both published (locked layout) and Public (visible on the portal) for applicants to submit.
Status filter On the Forms tab, filter the program list to Active or Inactive programs.

Open application programs

Go to OrgHub → Management → Applications → Forms tab. The table lists all application programs in your institution, with linked study programs and a count of forms per program.

Use the Status filter to show only Active or Inactive programs.

Roles and responsibilities

Role Typical responsibilities
Admissions administrator Create programs, link study programs, configure deadlines, publish forms, share the portal URL
Program coordinator Confirm linked study programs and cohorts match planned intake capacity
Admissions evaluator Usually works in Applicants rather than program configuration — but needs to understand which program and form a submission belongs to
IT / org admin Enable Application Management and assign permissions to view, create, edit, and delete application programs as needed

Where to start

If you are opening a new intake:

  1. Confirm study programs and cohorts exist for the degrees you plan to advertise.
  2. Create an application program and link those study programs.
  3. Build and publish application forms inside the program.
  4. Configure program settings — active status, deadlines, cohort eligibility.
  5. Publish and share the Apply portal URL from apply portal settings.
  6. Monitor incoming submissions in Applicants.

When the cycle ends, archive the program or set it to Inactive.
