Create a user

Add a new person to your institution in User Management — set their role, optional custom data, and choose whether to send an invitation immediately.

Creating a user is how you add a new person to your institution’s directory in Fuxam. The record you create here becomes the single identity used across FuxamLMS, FuxamCMS, and Apply — whether that person is a student, teacher, staff member, or applicant who will later become an enrolled student. You can save them as inactive (no access yet) or activate them and send an invitation in one step.

Why it matters

Every enrollment, course assignment, chat membership, and application record ultimately points to a user in User Management. Creating users correctly at the start — with the right role, email, and activation path — prevents access problems, duplicate records, and unnecessary back-and-forth with invitations. For large intakes, user creation often precedes cohort enrollment and user group assignment.

How it fits

User creation is the first step in the account lifecycle:

After creation, you typically assign a role, add the person to groups, complete contact details and custom data, and — for students — enroll them in a cohort. Users created without Send invite remain inactive until you activate or invite them later from the Users table or the profile Mailing tab.

Key concepts

Concept What it means
Inactive by default New users are created inactive unless you enable Send invite. Inactive users cannot sign in and are not counted toward subscription seats.
Send invite Activates the account and emails an invitation in one step. The recipient sets a password via the activation link.
Invite Validity How many days the activation link remains valid. Options: 1, 3, 5, 7 (recommended), 14, 30, and 90 days.
General role The organization-wide (primary) role assigned at creation. Additional scoped roles can be added later from the profile Access tab.
Custom data fields Institution-defined profile attributes you can fill at creation. See Custom data fields.
Login email The email entered at creation is the sign-in identifier. Additional contact emails can be added later on the profile.

How to open the create form

Go to OrgHub → Management → Users.

Select Add in the toolbar, then choose User.

How to fill in the form

Enter Email — used for login and as the invitation recipient.

Enter First name and Last name.

Select a Role. This sets the user’s initial access. You can assign additional roles later from their profile or the Users table.

Optionally fill in any custom data fields your institution has configured.

Custom data fields are defined for your institution and appear on the form when configured — see Custom data fields and Custom columns. Fill them at creation when you already know the values — for example, a matriculation number or department code — to avoid a second editing pass.

Beyond the create form, a complete profile may later include personal demographics (such as preferred name, date of birth, or nationality), contact details (additional emails, phones, addresses), and further custom field values. You can collect missing pieces afterward by editing the profile or by requesting missing information from the user.

How to send an invite

To activate the account and email an invitation immediately, enable Send invite before saving.

Check Send invite. When enabled, the user is activated and an invitation is sent as part of creation.

Set Invite Validity — how many days the invitation link stays valid. Options include 1, 3, 5, 7 (recommended), 14, 30, and 90 days.

Select Create to save.

If Send invite is left off, the user is created inactive. You can invite them later from the Users table or from the user’s Mailing tab.

The invitation email uses your institution’s defaults from Invite email settings — subject, welcome text, language, and optional intro video. Individual roles can override those defaults.

What the user receives

When an invite is sent, the user receives an email with:

  • Your institution’s invitation subject and welcome text (see Invite email settings).
  • An optional intro video link, if configured.
  • A unique activation link. When they open it, they set a password and complete account setup.

Pending invitations can be listed, filtered (for example by invitee email), and resent later — see Resend an invite.

Keyboard shortcut

If you have permission to create users, you can press Ctrl+Shift+U (or Cmd+Shift+U on Mac) to open the Add User panel from the Users table.

Best practices

  • Configure roles before bulk creation. Ensure the roles you assign exist and have the right access rights in Roles and permissions before creating many users at once.
  • Match invite validity to your process. For self-service onboarding, 7 days is a sensible default. For manual handoffs — printed welcome packs, in-person orientation — consider 14 or 30 days.
  • Create inactive when timing is uncertain. If someone should not sign in until a specific date, create them inactive and use scheduled activation instead of sending an invite immediately.
  • Use the correct email from the start. The email is the login identifier. Changing it later requires editing the profile and may affect pending invitations. Additional contact emails belong under Contact details, not as a substitute for the login address.
  • Capture known custom data at creation. Matriculation numbers and department codes entered once on the create form reduce follow-up editing and incomplete-profile requests.
  • Separate identity from enrollment. Creating a user does not enroll them in a study program. After creation, add them to a cohort when their academic placement is confirmed.

FAQ

Should I send an invite immediately or create the user inactive?

Send an invite when the person should sign in soon — for example, a new hire starting Monday. Create inactive when you are building records ahead of an intake, importing a list before orientation, or waiting for a scheduled activation date.

Does creating a user enroll them in a cohort?

No. User creation adds the person to your institution directory. Cohort enrollment is a separate step in Study programs and cohorts.

Can I assign multiple roles at creation?

You select one Role in the create form. Additional roles — including scoped roles on courses or cohorts — can be assigned afterward from the profile Access tab.

Can I add phone numbers and postal addresses when creating a user?

Contact emails, phones, and addresses are managed on the user profile after creation. See Contact details.
