Monitor quota allocation, teaching load, and program targets from the Planning Monitoring view — charts, detail breakdowns, and below-target or critical programs.

The Monitoring view under Planning gives administrators a quota-focused overview of teaching load across study programs and cohorts. Use it to identify programs that are below accreditation or institutional targets and drill into educator-level breakdowns. Monitoring does not replace module planning; it measures the plan you already built — assigned organizers, allocated units, and configured quotas — over a selected period.

Why it matters

Universities often must show that teaching capacity and load distribution meet internal or accreditation targets. Spreadsheets lag behind OrgHub as soon as organizers change. Monitoring exists so planners and deans can:

See assigned vs. actual units against target percentages per quota group
Spot Below target quota and Critical Programs early in the planning cycle
Drill from program charts to individual educators and modules
Export breakdown data for reporting after adjustments

Treat Monitoring as the health check after each major planning pass — not as a one-time year-end report.

Before you start

Confirm that planned modules have organizers and that quota weights are assigned in planning where your institution uses them. Monitoring cannot invent targets from an empty plan.

Open Monitoring

Go to OrgHub → Management → Planning.

Select the Monitoring tab.

What Monitoring shows

After you apply filters, the view displays:

Scope filters — select a Study Program and date range, then refresh to load data
Charts view — quota trend, quota comparison by study program, quota distribution, and related charts for the selected period
Overview tab — per quota group: assigned units, actual units, share of total, and target percentage
Detail View tab — educator- and module-level breakdown searchable by name
Status indicators — programs marked Below target quota or listed under Critical Programs when they do not meet configured targets

Apply filters

In the Scope section, choose a Study Program from the selector.

Set the date range for the period you want to analyze.

Select Refresh Data to load charts and the detailed breakdown.

Switch between Charts and Detailed Breakdown tabs to move from high-level trends to individual educator rows.

Resolve below-target and critical programs

When Monitoring shows Below target quota or Critical Programs:

Open the Detail View tab and search for the affected educators or modules.

Review Assigned vs. Actual units and compare against the Target percentage for each quota group.

Adjust planning in Module Planning or Course Planning — for example, reassign organizers, update quota weights, or change module assignments — then return to Monitoring and Refresh Data to verify the target is met.

Export and refresh

From the detailed breakdown header you can Refresh Data to reload after planning changes and export breakdown data to CSV for accreditation reporting.

Refresh after every material change to organizers, quota weights, or module assignments. Export when you need a snapshot for auditors or faculty leadership; the live view remains the source of truth inside OrgHub.

Best practices

Run Monitoring after each planning wave — mid-cycle checks leave time to reassign organizers before the term starts.
Start with Charts, finish in Detail View — trends show which programs to inspect; educator rows show what to change.
Fix root planning data, not only the chart — below-target status usually means missing organizers, thin allocations, or wrong quota weights in planning.
Keep scopes and quotas maintained — Monitoring assumes Settings → Scopes and Quotas matches real contracts and targets.
Export with a clear period label — when sharing CSV files, note the study program and date range you filtered on.

FAQ

Does Monitoring change planning by itself?

No. It reports on planned modules, organizer allocations, and quota configuration. To improve a below-target program, adjust Module Planning or Course Planning, then refresh.

What is the difference between Assigned and Actual units?

Assigned reflects planned or allocated load for the quota group; Actual reflects realized units in the selected period. Compare both against the Target percentage when diagnosing below-target status.

Can I monitor without selecting a study program?

The Scope section expects you to choose a Study Program and date range, then refresh. Use that filter to keep charts and breakdowns interpretable for one offering at a time.
