Delete an appointment
Remove a single appointment or an entire recurring series, delete selected dates, and choose whether to notify participants.
Deleting removes an appointment from the calendar for everyone it was on. It is the right tool when a session is genuinely cancelled or was created in error — but because deletion also discards any attendance recorded against the event, it deserves a moment’s care, especially for recurring series.
Delete appointments you no longer need from the calendar detail panel. Deletion requires the same permission to create and edit appointments.
Why it matters
An appointment is the record that attendance, notifications, and room bookings hang on. Deleting it cleans all of that up at once, which is exactly what you want for a cancelled session — but not what you want if you were only trying to hide a busy day or fix a typo. Knowing the difference between deleting and editing prevents accidental data loss.
Before you start
- Confirm you have permission to create and edit appointments for this event’s context (institution-wide or within the relevant course).
- Ask whether you actually need to delete. If the session is only moving, edit it instead so attendance and history are preserved.
- For a recurring event, decide whether you are removing one date, several dates, or the whole series.
Delete a single appointment
Open Calendar and click the appointment.
Click Delete in the detail panel.
Confirm the deletion.
When prompted, choose how to notify participants (see below).
Delete a recurring series
For a recurring appointment, Fuxam offers additional options so you can be precise about what disappears:
- Delete Appointment — remove only the selected occurrence.
- Delete series — remove the entire recurring series and all its occurrences.
- Delete specific dates — pick individual dates from the series to remove while keeping the rest.
Use Delete specific dates when you need to cancel selected sessions in a long-running series — a reading week, a public holiday, a one-off closure — without deleting the whole pattern.
Notify attendees
When deleting, Fuxam asks whether to inform participants:
| Action | Effect |
|---|---|
| Delete silently | Removes the appointment without sending notifications. |
| Cancel Appointment | Deletes the appointment and notifies all participants. |
For anything on people’s calendars that they may have planned around, prefer Cancel Appointment so nobody arrives for a session that is no longer happening. Reserve Delete silently for events created in error that participants never acted on.
Delete vs cancel vs edit
Delete when a session will not happen and its record is no longer needed. Attendance for that appointment is removed with it.
Edit when the session is merely changing — a new time, room, or link. This keeps attendance and history intact. See Edit an appointment.
Common pitfalls
- Deleting when you meant to reschedule — you lose attendance data unnecessarily; edit instead.
- Deleting the whole series to remove one holiday — use Delete specific dates.
- Silent deletion of a session people expect — attendees turn up anyway; use Cancel Appointment to notify them.
FAQ
Can I undo a deletion?
No. Deleting an appointment permanently removes it and any attendance recorded against it. If you are unsure, edit the appointment instead of deleting it.
If I delete one occurrence, does the rest of the series survive?
Yes. Delete Appointment removes only the occurrence you selected; the other dates in the series remain. Use Delete series to remove them all.
Will participants know the session is cancelled?
Only if you choose Cancel Appointment, which notifies all participants. Delete silently makes no announcement.
