Bulk actions
Select multiple users in the Users table and run status, invite, group, export, and other bulk operations efficiently.
Bulk actions let you operate on many users at once from the Users table in OrgHub. Instead of opening each profile individually, you select rows and use the bulk toolbar or ⋯ menu to change status, send invitations, manage groups, export data, grant access, and more. For institutions processing intakes, term rollovers, or department-wide updates, bulk actions are the primary efficiency tool in User Management.
Why it matters
A mid-size university may onboard hundreds of students per intake and deactivate hundreds more at term end. Doing that one user at a time is error-prone and slow. Bulk actions apply the same vetted operation — invite, deactivate, add to group, export — to a consistent selection, with confirmation dialogs where the impact is significant. Combined with table filters (role, status, group), you can target exactly the population you mean to change.
How it fits
Bulk actions connect User Management to the rest of the platform:
- Status changes implement the lifecycle covered in Deactivate a user.
- Invite uses the same validity options as Create a user and institution defaults from Invite email settings.
- Groups actions tie to User groups.
- Delete follows the permanent removal flow in Delete a user.
- Access grants scoped permissions related to Roles and permissions.
Bulk actions operate on users in User Management. Enrolling users in academic cohorts is a separate workflow in Study programs and cohorts.
How to select users
Go to OrgHub → Management → Users.
Check the box on each row you want to include, or use the header checkbox to select all rows on the current page.
Use filters first if you want to narrow the list before selecting (for example, by role, status, or group).
The bulk toolbar appears as soon as at least one row is selected.
Primary bulk actions (toolbar)
These actions are available directly in the toolbar when rows are selected:

Invite
Bulk Invite is the fastest way to activate users who were created inactive or whose previous links expired. Set invite validity in the popover. For individual invite management, see Resend an invite.
Access
Grants scoped access to a course or layer for all selected users. Complements organization-wide roles configured in Roles and permissions.
Export Users
Downloads a CSV of selected users. Useful for reconciliation with external systems, registrar exports, or pre-deletion snapshots when policy allows.
More options (⋯ menu)
Open the ⋯ button for additional bulk actions grouped by category.
Status
- Change status → Active — activate selected users (with billing confirmation).
- Change status → Inactive — deactivate selected users.
- Set Active on / Set Inactive on — schedule a future status change on a chosen date.
- Bulk study status — update study timeline status (when Statistics Engine is enabled).
Requires Update user status for status changes.
Scheduled Set Inactive on is ideal for term-end deactivation of a filtered cohort or group without manual processing on the last day.
Communication
- Send email — compose an email to selected users or all filtered users.
- Group chat — start a group chat with the selected members. Requires Create group chat.
- Create task — assign a task to selected users (when Tasks is enabled).
Groups
When users are selected:
- Add to group — add all selected users to one or more groups.
- Remove from selected group — appears when the table is filtered by a specific group.
- Add to company — assign users to a company (when company management is enabled).
Group membership supports targeting in the Info Hub, enrollment shortcuts, and table filtering. See User groups.
Other
- Edit Custom Fields — set the same custom field value for all selected users at once. Requires Update users.
- Request document / Insurance bulk request — available when Smart Documents or health insurance features are enabled for your institution.
Danger zone
- Delete — permanently remove selected users. Requires confirmation text entry. See Delete a user.
How to export CSV
With users selected, use Export Users to download only the selected rows. Without a selection, the same export button (when visible) exports all users matching your current filters.
In the export dialog you can:
- Choose Export selected users or Export all filtered users.
- Pick which default and custom columns to include.
Include custom columns in the export when you need institution-specific fields alongside standard identity data.
How to bulk edit custom fields
Select the users whose fields you want to update.
Open ⋯ → Other → Edit Custom Fields.
Choose a custom field, enter the new value (or clear values), and apply.
Useful for setting a batch identifier — intake year, department code, or status flag — across a filtered selection.
Best practices
- Filter before you select. Role, status, and group filters reduce the risk of including unintended users.
- Check the selection count. The bulk toolbar shows how many rows are selected — verify it matches your expectation before destructive actions.
- Use scheduled status for predictable dates. Term ends and contract dates are better handled with Set Inactive on than manual sameday processing.
- Export before large status changes. When migrating or auditing, export the filtered population first if your policy permits.
- Separate bulk invite from cohort enrollment. Inviting users does not enroll them in cohorts; plan both steps for new intakes.
Common pitfalls

FAQ
Can I bulk-add users to a cohort from the Users table?
Cohort enrollment is managed from Study programs and cohorts — for example, the Programs Users tab with Assign Cohort. The Users table bulk menu handles user groups, not CMS cohorts.
What permission do I need for bulk delete?
Delete users (organization-wide) or Delete user per selected user. The Delete option is hidden without the required permission.
Does bulk activate send invitation emails?
Change status → Active activates users with billing confirmation. For users who have never completed setup, use Activate instantly & invite from the single-user status menu — see Deactivate a user.
