View a user

Open a user's profile in User Management, read their status and roles, and understand which detail tabs and contact data are available to you.

Every person in your institution has a dedicated profile page in User Management. The profile is the operational hub for understanding who someone is, what they can access, and how they relate to academic programs, courses, and communications. The tabs you see depend on your access rights, the user’s role profile settings, and which product areas your institution has enabled.

Why it matters

Support staff, academic administrators, and teachers all need a single place to answer questions about a person: Are they active? What role do they have? Which cohort are they in? Have they received an invitation? Is their contact data complete? The user profile consolidates answers that would otherwise require checking multiple modules. Because User Management is Base’s identity layer, the same profile surfaces data from FuxamLMS, FuxamCMS, and Apply when the relevant features are enabled.

How it fits

The profile connects identity to every major area of Fuxam:

  • Overview — who they are, their roles, group memberships, contact details, and custom data fields.
  • Access — scoped permissions on courses, cohorts, and study programs.
  • Study Program — academic progression tied to cohorts.
  • Mailing — invitation and email history; the place to resend invites.
  • Applications — submissions from Apply, when enabled.

How to open a user profile

Go to OrgHub → Management → Users.

Find the user using search or filters.

Select the user’s name or row to open their profile.

You need permission to view that user, or to view users institution-wide, to open the profile.

The header shows the user’s name, photo, status, and role tags. Use the tab bar below the header to switch between sections.

Profile tabs

The following tabs can appear on a user profile in User Management. Not every tab is shown for every user or every administrator.

What you see on Overview

The Overview tab is the richest identity surface. Expect sections for:

Section Contents
Basic information Name, login email, and related identity fields
Roles and groups General role and user group memberships
Contact details Additional emails, phones, and addresses with types and primary flags where applicable
Custom data Institution-defined custom data fields (also shown as custom columns in the Users table)
Invite summary Whether an invitation is pending, used, or needs attention

When a field is empty and the person should supply it, consider a data collection request rather than leaving gaps in the record.

Status in the header

The profile header reflects the user’s account status:

  • Active — can sign in and access assigned areas.
  • Inactive — cannot sign in; not counted as an active seat.
  • Pending invite — an invitation was sent but the user has not yet activated their account.

Status can be changed from the header or via bulk actions on the Users table. See Deactivate a user.

These three states map to the User Management lifecycle described in the overview:

Best practices

  • Start with the header. Name, status, and role tags tell you immediately whether the person can sign in and what broad access they have.
  • Check Mailing for invite issues. When someone reports they never received an invitation, the Mailing tab shows send history before you resend.
  • Verify contact completeness. Incomplete phones or semester addresses often explain missed notifications — see Contact details.
  • Use Study Program for academic questions. Enrollment and progression live here, linked to cohorts in the CMS.
  • Respect tab visibility settings. If a tab is missing, check Roles and permissions role profile settings before assuming a data problem.

Common pitfalls

FAQ

Why do I see different tabs than my colleague?

Tab visibility depends on your access rights, the viewed user’s role profile settings, and enabled product areas. Two administrators with different roles may legitimately see different tabs for the same user.

Can students see their own profile this way?

This guide describes the administrator view in OrgHub. Students interact with their own data through FuxamLMS and related student-facing areas, governed by the same underlying user record.
