Check in to an appointment (students)

Register attendance with a QR code, rotating QR code, or attendance key — methods, steps, error messages, and how web check-in relates to Fuxam Mobile.

When a teacher activates check-in for an appointment, you can register your own attendance instead of waiting for a teacher to mark you present. Check-in turns presence into a self-service step at the door or screen: scan a code or enter a short key, and Fuxam records you against that session.

Fuxam supports three check-in methods:

Method How it works
QR code Scan a QR code displayed by the teacher
Rotating QR code Scan a time-limited QR code that refreshes automatically
Attendance key Type a short code shared by the teacher

On Fuxam Mobile, scanning is centred on the Check-In tab — see Check in with a QR code. Teachers and organizers can display codes from the app — see Show a check-in QR code. This page covers the web and key-based student flows and the error messages you may see when check-in fails.

Why it matters

Manual roll call does not scale well in large lectures, and paper lists drift out of sync with the digital record. Student check-in:

  • Speeds up the start of class.
  • Gives each student a clear confirmation that they were counted.
  • Leaves teachers free to correct only exceptions in Attendance Management.

Rotating QR codes add a time-limited layer so a screenshot of an old code is less useful outside the check-in window.

How it fits

Related area Relationship
Take attendance Teachers mark or correct Present, Absent, Excused
Attendance matrix Course-wide view of resulting statuses
View your calendar Find the appointment via Calendar or the course Calendar tab
Check in with a QR code Scan from the mobile Check-In tab
Show a check-in QR code Staff display and configure QR validity on mobile
Manage attendance Staff review who checked in from the app
See upcoming sessions Mobile overview of sessions and recent check-ins

Key concepts

Term Meaning
QR code Code displayed by the teacher; scanning opens check-in
Rotating QR code QR that refreshes automatically for a limited window
Attendance key Short code you type in Fuxam to check in
Check-in window Period when check-in is allowed (outside it you see expired or too-early errors)

Staff on mobile can configure validity options such as whole day, during the event, or a window around the session, and whether the QR rotates — see Show a check-in QR code.

Check in using a QR code

Use this when your teacher displays a QR code on a screen, projector, or phone.

Open the camera on your phone or use a QR scanning app.

Scan the QR code displayed by your teacher.

The check-in page opens in your browser. If you are already signed in to Fuxam, your attendance is registered automatically.

Check in using an attendance key

Use this when your teacher shares a short key instead of (or in addition to) a QR code.

Open Fuxam and navigate to the appointment (via Calendar or the course Calendar tab).

Click Check in on the appointment.

Enter the attendance key provided by your teacher and confirm.

Check-in errors

If check-in fails, you will see one of the following messages:

Message Meaning
You’re already checked in to this appointment Your attendance was already registered
Check in expired The check-in window has closed
Appointment is not today. The appointment is not scheduled for today
Check in too early, try again later The check-in window has not opened yet
Invalid QR code The code or key entered is not recognised
You don’t have access to this event You are not invited to or enrolled in this appointment

If you encounter an unknown error, contact your teacher.

What to try

Situation Guidance
Too early or expired Wait for the teacher to open check-in, or ask them to extend or re-display the code
Invalid QR or key Ask the teacher for the current code; for rotating QR, scan the live display
No access to this event Confirm you are enrolled and invited; the teacher may need to add you as an attendee
Already checked in You are done — no further action needed unless the teacher asks you to see them

Teachers can still adjust statuses manually if check-in failed for a legitimate reason — see Take attendance.

Best practices

  • Arrive ready to scan or enter the key when the teacher opens check-in — do not wait until the window closes.
  • Stay signed in to Fuxam so QR check-in can register automatically after the scan.
  • If you use Fuxam Mobile, allow camera permission for the Check-In tab before class starts.
  • Contact your teacher promptly if you attended but saw an error — corrections are easier the same day.

Common pitfalls

  • Scanning a classmate’s saved screenshot of an old rotating code.
  • Checking in from the wrong appointment on a busy day.
  • Assuming you are invited when you are only enrolled in the course generally — invitation to the appointment still matters for access.

FAQ

Do I need the mobile app to check in?

No. You can scan into the browser flow or enter an attendance key on the web. The mobile Check-In tab is often more convenient on campus.

What if I am late?

If the check-in window is still open, check in as usual. If it has expired, ask your teacher to mark you in Attendance Management.

Where can teachers see who checked in?

On the web via Take attendance and the attendance matrix, and on mobile via Manage attendance.
