Statistics & reports
Build, run, export, and share institutional reports from the Statistics Center in OrgHub — plus university-wide statistical exports for external reporting.
The Statistics Center in OrgHub is where university staff build, edit, run, export, and share institutional reports. It brings together two related but distinct workflows under one sidebar group: University Statistics for schema-driven, institution-wide exports (for example, German Prüfungsstatistik and Studierendenstatistik), and Your Reports for custom reports built from your institution’s data using the Report Builder.
Together, these tools answer a recurring need in higher education: turning operational data in Fuxam — enrollments, exams, grades, cohorts, and related records — into evidence you can use for accreditation, national statistics submissions, internal planning, and cross-department coordination. The Statistics Center sits alongside day-to-day teaching and exam workflows; it does not replace them, but it aggregates what they produce.
Why it matters
Universities operate under dual reporting pressure. Regulators, ministries, and accreditation bodies expect standardized, auditable data on students and examinations. Internally, faculties, student services, and leadership need flexible views — pass rates, grade distributions, cohort headcounts, enrollment trends — without waiting for a central IT extract.
The Statistics Center addresses both needs in one place. University Statistics produces exports aligned to your country’s reporting schemas, with readiness checks before you generate a file. Your Reports lets authorized staff query institutional data directly, save reusable definitions, share them with colleagues, and export results to CSV or Excel. That separation keeps regulated exports controlled while still empowering operational reporting.
Typical questions institutions answer here include:
| Question | Typical channel |
|---|---|
| How many students passed or failed a module this term? | Custom report with filters and grouping |
| What does the grade distribution look like by cohort? | Custom report with Summarize |
| What is the average grade per module or program? | Custom report with aggregation |
| How many exam attempts were used, and by whom? | Custom report joined to exam records |
| How many students are enrolled this semester? | Cohort or enrollment report; or Studierendenstatistik for formal submission |
| What must we submit as national exam statistics? | University Statistics (Prüfungsstatistik where configured) |
For a worked catalog of these patterns, see Common reports catalog.
How this fits into Fuxam
Statistics and reporting in Fuxam span several modules. Understanding where each tool belongs helps you choose the right one and know what data must be clean upstream.
| Area | Where it lives | What it is for |
|---|---|---|
| Exam Center and reporting | OrgHub CMS | Parent area for exams, grading, and the Statistics Center |
| My Exams | OrgHub CMS | Operational exam lifecycle — create, grade, publish; feeds exam statistics |
| University statistics | Statistics Center | Institution-wide schema exports for external bodies |
| Report Builder | Statistics Center | Custom queries, filters, joins, grouping, and exports |
| Course analytics | FuxamLMS | Term-level teaching dashboards for one course offering |
| Health insurance GKV | OrgHub CMS | Statutory Krankenkasse immatriculation and exmatriculation notices |
| Export time data | OrgHub CMS | Per-user time logs for payroll, audits, or personal records |
Study programs can be included in or excluded from university statistics collection (configured on the program). Continuing education programs do not participate in university statistics. Clean program, cohort, and exam data in Programs and planning and My Exams is the foundation for reliable exports and custom reports.
Key concepts
| Concept | Meaning in Fuxam |
|---|---|
| Statistics Center | OrgHub sidebar group containing University Statistics and Your Reports |
| University Statistics | Predefined statistical schemas (country-dependent) exported as CSV or Excel for external submission |
| Report Builder | Tool for creating custom reports via templates, a five-step query builder, or SQL mode |
| Data source | The primary entity a custom report is built from (for example, users, cohort memberships, study program data) |
| Join | Connection between related entities so their fields appear in the report |
| Required filters | Parameters that must be filled in on the Report run tab before results appear |
| Readiness | Validation shown in the University Statistics export sheet before you generate a file |
| Report permissions | Per-report grants of Can view and Can export by role or user |
The reporting model
Custom reports in Your Reports follow a consistent model:
- Data source — choose the root entity.
- Join data — optionally connect related tables.
- Pick columns — select output fields.
- Filter — narrow rows (cohort, program, date range, and more).
- Summarize — group and aggregate where needed.
At run time, required filters (if configured) are applied on the Report tab. Results can be previewed during building, executed in full on the Report tab, saved as execution snapshots, and exported to CSV or Excel (XLSX) when you have export permission.
University Statistics exports use a different model: you select Statistics type, Export format, Export year, and Semesters, then Fuxam validates readiness and streams mapped data through a dedicated export process.
How filters and groupings shape a report
The same underlying data can answer very different questions depending on how you scope and summarize it:
| Technique | Effect on the report |
|---|---|
| Filters (term, cohort, program, date range) | Limit which rows appear — essential for term-scoped and privacy-conscious runs |
| Required filters | Force the runner to choose a scope before any results show — prevents accidental full-institution downloads |
| Group by (module, cohort, program) | Collapse many student rows into one summary row per group |
| Aggregation (count, average where supported) | Turn lists into rates, averages, and headcounts for leadership and accreditation |

Roles and responsibilities
| Capability | Who typically has it | Notes |
|---|---|---|
| View and run University Statistics | Roles with permission to view statistics | See past exports and generate new ones |
| Delete past University Statistics exports | Roles with permission to manage the Statistics Center | Bulk-delete from the table toolbar |
| View Your Reports | Roles with permission to view reports | Own reports plus reports shared with you |
| Create or edit reports | Roles with permission to write reports | Open the Report Builder and save changes |
| Delete reports | Roles with permission to delete reports | Remove reports from Your Reports |
| Export report results | Roles with export permission, or per-report Can export | Download CSV or Excel from the Report run tab |
| Custom SQL reports | Roles with permission to write custom SQL reports | Use SQL Mode in the Report Builder |
| Manage report sharing | Report owners, or roles that can manage report permissions | Open the permissions sheet for a report |
Typical responsibilities:
- Institutional research / registrar — configure University Statistics exports, validate readiness, submit files externally, and maintain canonical custom reports.
- Faculty administrators / program leads — build and run cohort or enrollment reports; share read-only or export access with colleagues.
- Examiners — work in My Exams; grades and exam records feed statistics upstream.
- System administrators — enable the Statistics Center feature, the Report setting, and the Statistics Engine; assign access via Permissions, features and visibility.
Data protection when reporting
Institutional reports often contain personal data. Treat every export as a data-processing decision, not only a spreadsheet convenience:
- Prefer Can view over Can export when colleagues only need to verify figures in Fuxam.
- Scope reports with required filters (term, cohort, program) so runners cannot accidentally download the whole population.
- Store downloaded files only where your institution’s retention and access rules allow; do not email sensitive rosters to personal inboxes.
- Align formal Prüfungsstatistik / Studierendenstatistik submissions with your data-protection officer’s guidance on external transfers.
More guidance appears in Run and export a report and Share a report.
