Manage course appointments
Create, edit, and delete course appointments from the LMS Calendar tab — title, time, location, format, attendees, and organiser — and how this relates to the Base calendar.
Course appointments — such as lectures, seminars, or lab sessions — are created from the course’s Calendar tab. Anyone with permission to create and edit course appointments for the course can manage these sessions. Once saved, an appointment appears on the course calendar and on the personal calendars of all invited participants, including the institution-wide Base calendar.
Managing appointments from the course is the natural path when you are already teaching inside that LMS shell. For institution-wide creation with the fuller Base creator (rooms, recurrence, cohorts, and related options), see Create an appointment.
Why it matters
An appointment is more than a reminder on a grid. It is the object that attendance attaches to, that students check in against, and that the attendance matrix columns represent. If the session never becomes an appointment — or if the wrong people are invited — check-in fails for legitimate students, attendance panels show incomplete rosters, and the matrix cannot reflect what actually happened in the room.
Clear titles, accurate times, and the right attendees up front prevent that cascade.
Before you start
- Enable Calendar for the course in Course Settings if the tab is missing.
- Open the course — see Open a course.
- Know who should attend (individuals or groups) and whether the session is in-person, online, or hybrid.
- If you need a bookable institution room, confirm it exists under Rooms; assigning rooms is also documented under Assign a room to an appointment and in the Base create flow.

Create an appointment
Open the course and click the Calendar tab.
Click Add appointment (or click directly on a time slot in the calendar view).
Fill in the appointment details:
- Title — the name of the session.
- Date and time — start and end times.
- Location — an address or room name (optional).
- Format — In-person, Online, or Hybrid.
- Attendees — add the users or groups who should attend.
- Organiser — assign a responsible teacher or organiser.
Click Save to create the appointment. It appears on the course calendar and on the personal calendars of all invited participants.

Edit an appointment
Use edit when the room changes, the time shifts, or the guest list needs correction — preferably before students travel or check in.
Open the course Calendar tab and click on the appointment you want to change.
Click Edit in the appointment details panel.
Update the details and click Save.

Delete an appointment
Delete only when the session will not run. Prefer editing the time if the session is merely rescheduled, so attendance history (if any) stays attached to the same logical event where possible.
Click on the appointment in the course calendar.
Click Delete and confirm.

Best practices
- Name sessions clearly — titles like “Lecture 4 — Research methods” scan better on crowded calendars than “Class”.
- Invite the right audience once — use groups where appropriate so membership stays aligned with the course roster strategy at your institution.
- Set format honestly — In-person, Online, and Hybrid drive how the attendance matrix groups columns later.
- Confirm the organiser — the responsible person should be someone who can take attendance or show a check-in QR when the session starts.
Common pitfalls
- No Calendar tab — Calendar is off in Course Settings, or you lack access to the course.
- Students cannot check in — they may not be invited as attendees; fix the attendee list before blaming the QR code.
- Deleted by mistake — deletion removes attendance data for that appointment; recover by recreating the session and re-recording attendance if needed (previous statuses are not restored by undelete, because the appointment is gone).
