Bulk-enroll users in a course
Add multiple users, groups, or cohorts to a course at once from OrgHub, with role assignment and capacity awareness.
Bulk enrollment adds many participants to a single course in one operation — instead of searching for and confirming each person individually. In OrgHub’s Courses management area, administrators use bulk enrollment when an entire class, cohort, or staff group needs access to the same offering at the start of a term or after a course is created.
The flow is the same whether you are enrolling twenty students or two hundred: open the course, choose Add users or the bulk enrollment action, review the default role and the selected audience, and confirm. Fuxam processes the additions and reports how many enrollments succeeded.
Why it matters
Manual enrollment does not scale. At the beginning of each semester, programme administrators routinely need to place dozens or hundreds of students into core modules, electives, and support courses. Doing that one user at a time is slow, error-prone, and hard to audit.
Bulk enrollment solves the throughput problem while keeping administrators in control. You choose the default role (for example, Student or Participant), see capacity warnings before you commit, and receive a summary of successful enrollments when processing finishes. That combination supports both speed and accountability — essential for registrar and programme-office workflows.
Bulk enrollment is one path into a course. It complements — but does not replace — cohort-driven course access (which syncs study plans and curriculum), bundle enrollment (which grants access to every course in a package at once), and student self-service booking (where institution rules allow).
How it fits
Bulk enrollment sits in the middle of course provisioning: after a course exists and before participants begin work in the LMS course experience.

Typical workflow: browse or create the course → finish course settings → bulk-enroll the target audience → verify results on the Users tab → participants open the course from Home → My Courses.

Start a bulk enrollment
Go to OrgHub → Management → Courses and open the course you want to enroll users into.
In the course’s member or enrollment section, select Add users or the bulk enrollment action.
A confirmation dialog opens. Review the settings before proceeding:
- Default role — the role users will receive inside the course (for example, Student or Participant). You can change this per batch.
- Users to add — the list of users or groups you are enrolling.
Check for any capacity warnings. Fuxam alerts you if the course is full (enrollment limit reached) or if the course has zero capacity configured — both conditions produce a warning so you can decide how to proceed.
Confirm the enrollment. Fuxam processes the additions and shows a summary of how many users were successfully enrolled.
You typically need permission to update course users on the course to run bulk enrollment. If Add users is missing, ask an administrator to review your role.
Enroll a user group
Instead of selecting individual users, you can select an entire user group. All current members of the group are enrolled at once. Future members added to the group after this point are not automatically enrolled.
This snapshot behavior is deliberate: group membership changes over time (people join projects, leave teams, or move departments). Automatic re-sync would enroll or unenroll users without an explicit administrator action. When your roster changes, run bulk enrollment again for new members, or use Manage enrollments to add individuals.
Best practices
- Confirm the course first. Use Browse & manage courses to verify you are enrolling into the correct offering (name, term, status) before selecting hundreds of users.
- Set capacity before large batches. If your institution enforces enrollment limits, configure Capacity in Course settings before bulk enrollment so warnings reflect real policy.
- Choose the right audience type. Use cohorts when the audience is defined academically; use user groups for cross-cutting operational lists; use individuals for small exceptions.
- Review the default role. Instructors, teaching assistants, and students often need different course roles. Confirm the batch default before confirming — changing roles later is possible in Manage enrollments but slower at scale.
- Record the outcome. After confirmation, open the Users tab and spot-check counts and the Added from column to confirm the enrollment source appears as expected.
- Link before content, if academic tracking matters. If the course must feed study progress, link it to a module version while the course is still empty — linking is blocked once learning content exists.
- Finish Course Settings first. Participants who open an empty or misconfigured course create support load; enable the right tabs before mass enrollment.

Does bulk enrollment replace adding users to a cohort?
No. Adding users to a cohort creates study-plan membership and can sync course access from the curriculum in the background. Bulk enrollment adds users directly to one course without changing cohort or study-plan structure. Use the path that matches your administrative intent.
Can I enroll a cohort and a user group in the same batch?
The confirmation dialog shows the combined Users to add list. Select whichever audience types the user selector supports for your institution — individuals, groups, and cohorts — then review the full list before confirming.
What if some users fail to enroll?
Fuxam shows a summary of how many users were successfully enrolled. For per-user status, open Manage enrollments and review the Users table.
Should I use bulk enrollment or a course bundle?
If participants need access to one course, bulk enrollment is the right tool. If they need every course in a published bundle, use Enroll in a bundle instead — one action covers all linked courses.
