Start tracking time

Start and stop a time entry from the dashboard sidebar timer, add timestamp checkpoints, and find the same controls on the Management tab and in User Management.

The time tracking control in the Fuxam Web dashboard sidebar is the fastest way to record working hours without leaving your current page. A single Start tracking / Pause tracking toggle opens and closes the active session; today’s running total appears in the same row so you can see at a glance whether you are still clocked in.

Why it matters

Accurate time records begin at the moment work starts—not at the end of the month when someone reconstructs hours from calendar invites. The sidebar timer lowers friction: teachers between classes, student assistants at a front desk, and administrative staff handling walk-ins can clock in in two clicks. Timestamp checkpoints then annotate the day with structured events (break start, arrival on site) without opening a separate form.

When everyone uses the same entry point, managers see consistent logs in manage time entries and exports reflect reality rather than manual estimates. In compliance terms, a live timer is how institutions turn the general duty to document start, end, and duration of daily work into something staff can actually do during the day.

The sidebar is for capture; profile and management views are for review. Most users live in the sidebar during the day and open the log table weekly or when a manager asks them to verify a period.

Before you start

  • The Time Tracking feature must be enabled for your institution and switched on under Settings → Time Tracking (Enable time tracking).
  • Your role needs permission to use time tracking, and role profile settings must not hide the control.
  • If you do not see the timer, contact an administrator—see Roles and permissions.

How to open the timer

Sign in to the dashboard with an account that has time tracking enabled.

Open the account menu in the sidebar (your profile area at the bottom of the navigation).

Locate the time tracking row below your account options. It shows today’s elapsed time and a Start tracking / Pause tracking control.

How to start or stop a session

Select Start tracking to begin a new time entry. The icon switches to pause and the elapsed counter starts.

Select Pause tracking to stop the active session. Fuxam records the end time on the current log.

Today’s total tracked time updates in the sidebar row after each start or stop.

How to add timestamp checkpoints

While you have at least one log for today, you can attach predefined timestamp templates (for example, break start or site arrival):

With an active or completed session today, open the timestamp control next to the start/stop button.

Choose an active template from the list configured in Settings → Time Tracking → Timestamp Templates.

Fuxam attaches the timestamp to your current day’s tracking session.

What timestamps are for

Timestamps structure the day for reviewers and exports. They do not replace the main session start and end times, but they document when a labeled event occurred—useful for break compliance discussions, on-site versus remote work, or internal policies that require noting specific transitions. Choose templates your institution has defined; ad-hoc free-text labels are not part of this workflow.

Pauses versus timestamps

Use pauses when the break should affect how long the session counts as work. Use timestamps when you need a structured marker for reviewers without necessarily changing the session math. Your institution’s HR policy decides which events belong in which channel.

Where else to track time

The same start/stop control also appears on:

  • OrgHub → User Management → [User] → Time Tracking — full log table with filters.
  • Dashboard → Management tab — time tracking section on your own management home tab (when visible for your role).

Use those surfaces when you need context (week view, expected hours, absences) while still controlling the active timer.

Best practices

  • Clock in when work begins, not when you first open email at home—align with your institution’s policy on remote and on-site hours.
  • Clock out at end of day; do not rely on auto-stop as your primary clock-out.
  • Record pauses as they happen so break documentation stays accurate for review and export.
  • Add timestamps at the moment of the event so break and arrival records stay trustworthy.
  • Review your week in the log table before month-end payroll or export deadlines—check difference against your work-time model.

Common pitfalls

Situation What to do
Timer missing entirely Institution setting off, feature package missing, or role profile hides time tracking—escalate to an admin.
Cannot add timestamps You may need at least one session today, or no templates are configured in settings.
Total hours look wrong Expand the day in manage time entries; check for open sessions, auto-stopped closures, or missing pauses.
Edited times rejected You can edit only your own logs unless you have permission to edit another person’s time tracking.

FAQ

Can I run multiple overlapping sessions in one day?

Fuxam records sessions in a daily log. Follow your institution’s policy on split shifts; use Pause tracking and a new Start tracking when you resume after a genuine break, and verify the resulting sessions in the log table.

Does attendance in courses replace time tracking?

No. Calendar attendance records presence at scheduled teaching events. Time tracking records working hours for employment or institutional workforce policies. Some users may use both.

Who can see my timer activity?

Staff with permission to view your time tracking can open your Time Tracking tab in User Management. Your own role can always review your logs where the tab is visible.

What if I forget to clock out?

Your assigned work-time model may auto-stop the session after a configured duration. You will typically receive a notification; review and correct the end time with a manager if the automatic time is wrong.
