Statistics center
Generate institution-wide university statistical exports in OrgHub, validate readiness, and download previously generated files for external reporting.
University Statistics (sidebar: Statistics Center → University Statistics) is where you generate and retrieve institution-wide statistical exports for external reporting — for example, submissions to a national statistics office. Unlike the Report Builder in Your Reports, which lets you define ad hoc queries, University Statistics applies predefined schemas mapped to your institution’s country configuration. Fuxam validates your data against those schemas, surfaces readiness gaps before export, and produces standardized CSV or Excel files you can submit or archive.
This page covers the regulated export workflow. For custom institutional reports — cohort lists, enrollment overviews, pass rates, grade distributions — see Create a report, the Common reports catalog, and the Statistics and reports overview.
Why it matters
Many countries require universities to report aggregate data on students and examinations to a ministry, statistics agency, or accreditation body. These submissions must follow a fixed schema — field names, codes, and validation rules — not a free-form spreadsheet. Errors or incomplete configuration can delay submission or trigger rework across registrar, exam office, and IT.
University Statistics centralizes that obligation inside Fuxam. Instead of manually assembling extracts, you select the reporting year and terms, review a Readiness check that flags missing or invalid data, and generate a file through a guided export process. Past exports are retained so you can download successful files again without re-running the full pipeline.
The exam and enrollment data that feeds these exports originates in day-to-day OrgHub work — My Exams for assessment records, Programs and planning for cohorts and study programs, and related academic structure. Clean upstream data is the best preparation for a successful export.
German reporting context
In Germany, two well-known higher-education statistics submissions are:
| Schema | German name | What it generally covers |
|---|---|---|
| Exam statistics | Prüfungsstatistik | Examination outcomes and related aggregates for the reporting period |
| Student statistics | Studierendenstatistik | Student population and enrollment characteristics |
When your institution is configured for Germany, these appear as Statistics type options in the export sheet. Exact field mappings and validation rules follow your institution’s schema version and Export year. Treat University Statistics as the channel for formal submission; use Your Reports for internal analysis that does not need schema compliance (for example, a faculty-level pass-rate table for a board meeting).
How it fits
| Related area | Relationship |
|---|---|
| Exam Center and reporting | Parent area; exams feed exam statistics schemas |
| My Exams | Where grades and exam lifecycle data are recorded |
| Statistics and reports | Overview of University Statistics vs Report Builder |
| Common reports catalog | Internal reporting patterns that complement formal schemas |
| Course analytics | LMS teaching metrics — not used for schema exports |
| Permissions, features and visibility | Controls who can view statistics and which sidebar items appear |
Key concepts
| Term | Meaning |
|---|---|
| Statistics type | The schema your export follows — options depend on country configuration |
| Export year | The reporting year supported by your institution’s schema version |
| Semesters | One or more organization terms included in the export (for example, Winter Semester or Summer Semester) |
| Readiness | Pre-export validation that surfaces missing or invalid data for your selected terms |
| Past exports | Table of completed export jobs with type, format, status, counts, and creation date |
Available export types
When you start a new export, you configure:
| Setting | Options |
|---|---|
| Statistics type | Depends on your institution’s country configuration. For Germany, the available schemas are Prüfungsstatistik (exam statistics) and Studierendenstatistik (student statistics). |
| Export format | CSV or Excel (XLSX) |
| Export year | Reporting year supported by your institution’s schema version |
| Semesters | One or more organization terms (for example, Winter Semester or Summer Semester) |
The export sheet also shows a Readiness section that validates your selected terms before you proceed — surfacing missing or invalid data so you can review it before generating the file.
If required university configuration fields are incomplete, the Export action stays disabled until they are filled in (either in institution settings or as overrides in the export sheet).
How to run an export
Open OrgHub → Statistics Center → University Statistics.
Select New export in the toolbar (or from the empty state if you have no past exports yet).
In the export sheet, choose Statistics type, Export format, Export year, and Semesters.
Review the Readiness status. Resolve any blocking configuration gaps shown in the sheet.
Select Export. Fuxam navigates to the export process page, validates rows, streams the data, and generates the file.
During processing, the export page shows progress stages (fetching data, mapping fields, validating, generating file) and summary counts for records, warnings, and errors.
How to download past exports
Completed exports appear in the Past exports table on the University Statistics page. Each row shows the export type, format, status, record counts, and when it was created.
Locate the export in the Past exports table.
Open the row Actions menu (⋯).
Select Download file.
Preparing for a submission deadline
A practical calendar many institutions follow:
- Early in the reporting period — Confirm which study programs are included in university statistics; publish outstanding grades in My Exams.
- Mid-period — Run a Readiness check and fix gaps (missing codes, incomplete enrollments, unpublished results).
- Before the deadline — Generate the export, review warning and error counts, download and archive the file, then submit through your external channel.
- After submission — Keep the process summary (record, warning, and error counts) with the file for audit trails.
Use Your Reports to investigate anomalies flagged during readiness — for example, a cohort with unexpected empty fields — before re-running the formal export. See the Common reports catalog for internal patterns that often surface the same data issues.
Best practices
- Run a Readiness check early in the term — not on the submission deadline — so registrar and exam staff can fix data gaps while records are still fresh.
- Align Semesters with the reporting period your national schema expects; mismatched term selection is a common source of incomplete exports.
- Archive the export process summary (record, warning, and error counts) alongside the downloaded file for audit trails.
- Coordinate with colleagues in My Exams to ensure grades are published before exam statistics exports that depend on final results.
- Handle downloaded files under your institution’s data-protection rules — national statistics files can still contain sensitive coded personal data depending on the schema.
- Use Your Reports to investigate specific data anomalies flagged during readiness before re-running the formal export.
Common pitfalls
| Issue | What to check |
|---|---|
| Export button disabled | Required university configuration fields incomplete — fill them in institution settings or as overrides in the export sheet |
| High error counts on process page | Review readiness warnings; trace back to source records in exams, enrollments, or program configuration |
| Missing download on past export | Export may not have completed successfully, or the file may have expired |
| Schema mismatch with external system | Confirm Statistics type and Export year match the schema version your receiving body expects |
| Expected program missing from export | Confirm the study program is included in university statistics collection; continuing education is never included |
FAQ
How is University Statistics different from the Report Builder?
University Statistics applies country-specific predefined schemas with readiness validation for regulatory submission. The Report Builder lets you define custom queries with your own columns, filters, and joins for internal use. See Statistics and reports.
Can I delete old export records?
Users with permission to manage the Statistics Center can bulk-delete past export records from the table toolbar. This removes the export record; ensure you have downloaded any files you need to keep first.
Does course analytics data feed University Statistics?
LMS course analytics measure teaching engagement within a single course. University Statistics draws on institutional records such as enrollments and exams, not LMS visit or engagement metrics.
Can I use University Statistics for a faculty board pass-rate chart?
Prefer a custom report for internal charts and tables — University Statistics files are shaped for external schemas, not for flexible faculty analysis. See Common reports catalog.
