Manage locations

Create and maintain location groups for buildings, campuses, or wings; assign rooms to them; and understand how addresses appear on the map.

Locations group rooms by building, campus, wing, or site. They provide a shared street address and appear on the locations map. Individual rooms are still booked for appointments — locations organize the directory so staff can navigate large estates without treating every room as a free-floating name.

Locations live under OrgHub → Database → Rooms on the Locations tab, alongside the room catalog described in Rooms.

Why it matters

Multi-building campuses quickly accumulate dozens or hundreds of bookable spaces. Without location groups:

  • The room list becomes a flat alphabet that hides which wing a space belongs to.
  • Shared street addresses are retyped inconsistently on every room.
  • Map-oriented orientation (for visitors, new staff, or multi-site institutions) has nothing to attach to.

Locations give you a stable building- or campus-level record; rooms inherit that organization when assigned. Booking still targets a room (and optional setup), which keeps capacity and conflict checks precise.

Locations connect to room create and edit flows: you can pick a location when creating a room or change it when editing a room. Appointments then select rooms as described in Assign room to appointment.

Campus, building, and room hierarchy

Universities often talk about space in three everyday layers. Fuxam models the outer grouping as locations and the bookable unit as rooms:

You do not need a location for every corridor or floor. If two wings share one street address and one map pin, a single location with clear room names (for example, “North Wing — Seminar 3”) is usually clearer than dozens of near-duplicate location records.

Each location shows a Room Count so you can see how many spaces are attached. Use that count when cleaning up after mergers, demolitions, or campus moves.

Open the Locations tab

Go to OrgHub → Database → Rooms.

Select the Locations tab.

The table lists all location groups with Name, Address, and Room Count.

Create a location

On the Locations tab, select Location in the toolbar. This opens the create location sheet.

Enter Name — a label for the building or campus (for example, “Main Campus” or “Science Building B”).

Enter Address — the street or postal address used for the location map preview. Prefer a real-world address, not a repeat of the location name alone.

Review the Map Preview that appears after you enter an address.

Select Create to save the location.

Edit or delete a location

To edit a location, open its row actions menu and choose edit. Update Name or Address, then confirm.

To delete locations, select one or more rows and use the bulk delete action.

After a delete, review unassigned rooms on the Rooms tab and reassign them if the building still exists under a replacement location record.

Assign rooms to a location

Rooms can be linked to a location in several ways:

When creating a room, select the location from the Location field in the Create Room sheet.

On the room Settings tab, change the Location field for an existing room.

On the Rooms tab, select one or more rooms and use the bulk action to assign a location.

Bulk assignment is the fastest path when an entire floor or wing should move under one building record.

A room belongs to at most one location at a time. Moving it to a new location replaces the previous assignment.

Amenities and locations

Amenities and equipment labels are assigned to individual rooms (or room setups), not to location groups. Configure amenities when creating or editing a room, add them in bulk from the Rooms tab, or manage the catalog itself in Manage amenities.

That separation is intentional: two rooms in the same building often have different equipment. Location carries address and grouping; room and setup carry what you can do inside the space.

Best practices

  • Create locations for real buildings or campuses first, then assign rooms — not the reverse — once you have more than a small set of spaces.
  • Keep one location per distinct addressable site; avoid duplicating “Main Campus” variants that fragment Room Count.
  • After address changes, confirm the Map Preview still matches the intended place before saving.
  • When demolishing or retiring a building, reassign or mark rooms appropriately before deleting the location so the directory stays coherent.
  • For multi-site institutions, put the campus name in the location label (for example, “Berlin — Science B”) so filters stay unambiguous.

Common pitfalls

  • Deleting a location during an active term without reassigning rooms — rooms become ungrouped and harder to find.
  • Putting amenities only on a location (they do not exist there) and wondering why the appointment picker cannot filter by equipment.
  • Using location names that are too generic (“Building 1”) across multiple campuses without a campus prefix.
  • Entering the location name again in the Address field instead of a real street or postal address — the map preview then cannot orient correctly.

FAQ

Can I book a location instead of a room?

No. Appointments book a specific room (and optionally a setup). Locations organize the directory and provide a shared address for the map.

What happens to rooms when I delete a location?

They stay in the directory but are unassigned from that location group. Reassign them from room Settings or via bulk action on the Rooms tab.

Do online rooms need a location?

Usually not. Online rooms focus on an Online Link rather than a building address. You can still assign a location if your institution uses locations for organizational grouping only.

Should every floor be its own location?

Usually no. Prefer one location per building or campus address, and encode floor or wing in the Room Name or Room Address Notes unless floors truly sit at different map addresses.
