Create a term
Add a new academic study period with name, optional term code, and start/end dates, then configure election and reassessment windows.
Creating a term (study period) registers a new academic window on your institution’s Chronology — for example, “Summer Semester 2026”. The create flow captures the core term window (name, optional code, start and end dates). After creation, you set election and reassessment windows inline in the Chronology table so the term can drive planning, filters, and student-facing registration periods across OrgHub.
Use this when you are preparing a new academic cycle, filling a missing historical period needed for filters, or aligning Chronology with how your university publishes its semester calendar.
Why it matters
Terms are shared master data. If a study period does not exist in Chronology, planners cannot select it cleanly when placing modules, and OrgHub pages that filter by period cannot offer a consistent label. Creating terms early — before module planning and cohort scheduling intensify — keeps academic operations on one timeline.
A well-named, correctly dated term also reduces confusion between faculties: everyone selects “Winter Semester 2025/26” from the same list instead of inventing parallel labels.
How it fits
Chronology sits in Academic structure (Database). New terms feed:
- Module planning — term selectors and grid grouping
- Curricula — election timing that can reference Chronology dates
- Study programs and cohorts — cohort module planning and semester moves
Before you start
- Confirm the official academic calendar dates for the period you are adding.
- Check OrgHub → Database → Chronology for an existing term with the same name or overlapping purpose so you avoid duplicates.
- Decide whether you will supply a Term Code or let Fuxam auto-generate one.
- Know whether your institution uses reassessment registration periods — those columns appear only when enabled.
How to create a term
Open the create sheet
Use the create flow on the Chronology page to register a new academic study period.
Go to OrgHub → Database → Chronology.
Select Study Period in the toolbar or empty state. This opens the Create Study Period sheet.
Fill in term details
Enter Name — a clear label for the period (for example, “Summer Semester 2026”). This field is required.
Optionally enter Term Code — a unique identifier. Fuxam auto-generates a code if you leave this empty.
Select Start and End — choose the start and end dates that define the term window for this study period.
Select Create. The term is added to the Chronology table and becomes available across OrgHub.
Configure election and reassessment windows
The create sheet sets the core term window only. After creation, configure additional windows directly in the Chronology table:
| Column | Window |
|---|---|
| Election Start / Election End | Module election window for student elective choices |
| Reassessment Registration Start / Reassessment Registration End | Reassessment window for exam reassessment registration |
Locate the new term row in the Chronology table.
Click the Election Start, Election End, Reassessment Registration Start, or Reassessment Registration End cells to set dates.
Save your changes using the unsaved-changes bar when it appears.
Field reference
| Field | Required | Notes |
|---|---|---|
| Name | Yes | Human-readable label used in planning headers, filters, and selectors |
| Term Code | No | Must be unique if provided; leave empty to auto-generate |
| Start date / End date | Yes (as Start and End) | Define the main term window |
| Election Start / Election End | No at create | Set after creation in the Chronology table |
| Reassessment Registration Start / Reassessment Registration End | No at create | Visible only when reassessment periods are enabled |
Best practices
- Use names that match your published academic calendar (including year spans such as 2025/26) so staff recognize them instantly.
- Keep Term Code conventions stable across years (for example, a consistent pattern for winter and summer) if your institution relies on codes in reports or imports.
- Set the term window first; add election and reassessment dates once exam and elective policies for that cycle are confirmed.
- Prefer creating terms for the full upcoming cycle in one pass so planners are not blocked mid-semester.
Common pitfalls
- Creating a second term for the same semester under a slightly different name — planning then splits across two headers.
- Leaving election dates empty until after students need to choose electives — elections cannot open cleanly without a window.
- Assuming create-sheet fields include election and reassessment — those are configured in the table after creation.
- Entering a Term Code that already exists — saving will fail; choose another code or leave the field empty.
FAQ
Can I create a term without a term code?
Yes. Term Code is optional. If you leave it empty, Fuxam auto-generates a unique code.
When do election and reassessment dates become available?
After you create the term. Set Election Start, Election End, Reassessment Registration Start, and Reassessment Registration End on the Chronology table row, then save via the unsaved-changes bar.
Why do I not see reassessment columns?
Reassessment columns appear only when your institution has the exam center reassessment period enabled. If they are missing, contact an administrator who manages exam-center features.
Does creating a term automatically plan modules into it?
No. Creating a term makes it available for selection. Planners still place module versions into the term in module planning and cohort module planning views.
