Create a continuing-education program

Add a continuing-education program in OrgHub with an initial version, optional code and objective, and the Has Cohorts setting for flexible professional offerings.

Create a continuing-education program when your institution offers a certificate, professional development track, or other flexible non-degree pathway that should live beside — not inside — the degree catalog. Fuxam creates the program together with an initial version so you can connect curricula, enroll participants, or add cohorts without a separate versioning step first.

In university practice, founding a continuing-education offering is an institutional product decision: naming, coding for catalogs and partners, whether participants join in waves, and what the learning objective is. The create form captures those foundational choices so later planning and enrollment have a stable parent record.

Why it matters

Without a continuing-education program record:

  • There is nowhere to hang versions when the certificate edition or curriculum changes.
  • Staff lack a clear home for participants, curricula, and module planning outside the degree list.
  • Admissions handoffs from Apply and reporting cannot point at a first-class professional offering.

Creating the program early — even before every module is finalized — establishes the container. You refine connected curricula, responsible users, and planning afterward.

How it fits

Continuing-education programs are created from the Continuing Education tab under OrgHub → Management → Programs, not from the Study Programs tab. The structural model matches study programs (program → version → optional cohorts → members), but defaults differ: cohorts off, and university statistics never apply.

Before you start

  • Confirm the Continuing Education tab is visible (feature package and institution setting enabled). If it is missing, see Permissions, features and visibility.
  • Decide the display Name participants and staff will recognize.
  • Decide whether you need a Study Program Code for catalog alignment, partner systems, or internal reporting.
  • Choose whether this offering needs cohorts (named waves) or direct enrollment.
  • Optionally prepare an Initial Version Name (for example, “2025 edition”) and a short learning objective if your process records program purpose at creation.
  • Prefer having a draft curriculum ready if you will connect it immediately.

How to create a continuing-education program

Go to OrgHub → Management → Programs and open the Continuing Education tab.

Select Continuing Education in the toolbar to open the Create Continuing Education panel.

Enter the program Name — the display name for the offering (for example, “Professional Certificate in Data Science”).

Optionally enter a Study Program Code. Leave blank if an auto-generated code is acceptable, or enter a custom code that matches your institutional catalog.

Optionally enter an Initial Version Name — the label for the first program version (for example, “1.0” or “2025 edition”).

Configure Has Cohorts if you want cohort-based organization for this program. Leave it off for rolling or individual enrollment.

Select Create to save. The program and its initial version are created.

Fields and choices at creation

Field / choice Required Guidance
Name Yes Use the title learners and partner offices will recognize in lists and communications
Study Program Code No Align with SIS/catalog codes when external systems need a stable identifier
Initial Version Name No Name the first edition clearly; you can add more versions later
Has Cohorts No (defaults off) On for shared intake waves; off for rolling enrollment
Objective No Short statement of purpose when your process records program goals (for example, upskilling focus)
Default study time No Optional planned duration context for the offering when your institution uses it
Connected curricula No at create You can connect curricula at creation or later under Settings

After creation — manage the program

Open the new program from the Continuing Education tab to manage it like other programs:

Area What you do there
Users Enroll participants directly when cohorts are disabled
Curriculum Available at the program level when cohorts are disabled
Cohorts Create and manage intake groups when Has Cohorts is on
Module Planning / Course Planning Plan delivery across terms
Settings Program details, connected curricula, responsible users, drive folder, and default tuition fee plan

You can rename, archive, and version continuing-education programs using the same actions as standard study programs. For shared edit patterns, see Edit a study program. For archival patterns, see Archive a study program.

Planning continuing-education delivery

Even without cohorts, place modules into Chronology terms and assign organizers so staffing and monitoring stay coherent:

  1. Attach or maintain the program-level curriculum with the right module versions.
  2. Use Module Planning to select terms — see module planning and term effects on planning.
  3. Assign organizers for owned delivery.
  4. Schedule sessions with rooms when offerings become appointments.

Has Cohorts — decide deliberately

Situation Recommended setting
Rolling starts, individual enrollments, self-paced certificate Has Cohorts off
Semester waves that share a start date and curriculum version Has Cohorts on
Mixed: mostly rolling, occasional special cohort Prefer off unless you will actively maintain cohorts; avoid empty cohort records
You need named audiences for Info Hub and reporting per wave Has Cohorts on

You can typically adjust Has Cohorts later when updating the program, but changing enrollment mode after participants exist should be planned carefully with your registrar — existing memberships and study plans may need review.

Best practices

  • Use continuing education for flexible certificates and professional tracks; use study programs when structured degree intakes and statistics are required.
  • Name programs for external recognition (certificate title), not only internal project codes.
  • Set a meaningful Initial Version Name even if you only have one version today — it appears in the version selector.
  • Connect curricula before large enrollments so study plans generate from the intended blueprint.
  • Align naming with Apply application programs when admissions feed this offering.

Common pitfalls

Pitfall Why it hurts What to do
Creating on the wrong tab Program lands under Study Programs with degree defaults Use the Continuing Education tab and Create Continuing Education
Enabling cohorts “just in case” Empty intakes and unused cohort UI Leave Has Cohorts off until you need waves
Expecting statistics on CE programs CE never participates in university statistics Use a study program when reporting requires inclusion
Skipping curriculum connection Planning and study plans lack a blueprint Connect curricula in Settings before heavy enrollment
Vague names or codes Hard to find offerings beside degree programs Use distinctive titles and stable codes

FAQ

Does creating the program also create a version?

Yes. Every new continuing-education program is created with an initial version. Additional versions are optional — see Manage program versions.

Can I turn Has Cohorts on later?

Yes, you can update the program to enable cohort-based enrollment when your workflow needs intake groups. Plan the change with staff who manage enrollment so existing participants are handled correctly.

Can I enable university statistics for this program?

No. University statistics are always disabled for continuing-education programs and cannot be enabled.

Where do I edit an existing continuing-education program?

Open it from the Continuing Education tab and use the same settings and management patterns as study programs — see Edit a study program.
