Edit a cohort
Update a cohort's display name and intake dates, change or disconnect its curriculum, or archive, unarchive, or permanently delete the cohort from the Cohorts tab or overview.
Edit a cohort when the intake’s identity or timeline needs to change, or when you must adjust how the cohort relates to its curriculum. In FuxamCMS, name and intake dates are edited separately from curriculum assignment. That separation matters: renaming or shifting dates is usually low risk, while changing curriculum can cascade into enrolled students’ study plans.
A cohort remains the operational group of students admitted and progressing together under a study program version. Editing keeps that container accurate for enrollment, Info Hub audiences, reporting, planning, and Apply handoffs — without forcing you to recreate the intake.
Why it matters
Intake names and dates appear wherever staff select or report on cohorts. Outdated labels confuse admissions handoffs from Apply, mis-target announcements, and make year-over-year comparisons harder. Curriculum edits are higher stakes: they redefine which modules sit on student study plans and how progress is represented.
Treat name/date edits as routine housekeeping. Treat curriculum, disconnect, archive, and delete actions as controlled academic-operations decisions with clear owners and review.
How it fits
| Related area | Relationship |
|---|---|
| Create a cohort | Initial name, dates, and curriculum at creation |
| Cohort lifecycle | How status and semester progression relate to dates |
| Manage cohort curriculum | Full guidance on Change Curriculum, Propagate, Reset, Skip, and Disconnect |
| Assign curriculum to cohort | Why curriculum version assignment shapes study plans |
| Add users to cohort | Membership after structural edits |
| User groups | Operational labels — not a substitute for editing the academic cohort |
Key concepts
| Action | What it changes | Typical risk |
|---|---|---|
| Edit (name / duration) | Display name and intake Start Date / End Date (and thus computed status) | Low — labels and timing |
| Change Curriculum | Assigned curriculum version; may update study plans | High if students are enrolled |
| Disconnect | Cohort gets an independent curriculum copy | Medium — isolates this intake from shared updates |
| Archive / Unarchive | Active vs archived visibility of the cohort | Medium — affects what staff see as current |
| Delete | Removes the cohort permanently | Critical — cannot be undone |
How to edit name and intake dates
Name and dates are the routine edit path. Use this when correcting a typo, aligning the label with institutional naming, or adjusting the intake window.
Open the study program, select the correct program version, and go to the Cohorts tab.
Open the row actions menu (three-dot icon) for the cohort and select Edit.
Update Rename Study Program (the cohort name field) and Duration (start and end dates).
Select Save.
You can also edit the cohort name inline from the cohort overview header — changes save when you leave the name field.
How to change curriculum assignment
To assign a different curriculum version to the cohort:
On the Cohorts tab, open the row actions menu for the cohort.
Select Change Curriculum.
Choose a new curriculum and version, review the impact summary for enrolled users, and select how changes should apply to existing study plans.
Confirm the change.
See Manage cohort curriculum for full guidance on curriculum changes, including Propagate, Reset, and Skip, and for study-plan impact.
Other cohort actions
From the same row actions menu you can also:
| Action | Purpose |
|---|---|
| Archive | Hide the cohort from active operational lists while preserving data |
| Unarchive | Restore an archived cohort to active use |
| Disconnect | Create an independent curriculum copy for this cohort only |
| Delete | Permanently remove the cohort |
Disconnect is covered in detail on Manage cohort curriculum. Use it when this intake must diverge from the shared Database curriculum without affecting other cohorts on the same version.
When to edit vs create a new cohort
| Situation | Prefer |
|---|---|
| Typo in intake name; minor date correction | Edit this cohort |
| Next winter’s new starters | Create a new cohort (often under a new program version) |
| Wrong curriculum assigned before enrollment | Change Curriculum (low impact if few or no users) |
| Wrong curriculum after mass enrollment | Change Curriculum with careful cascade choice — see Manage cohort curriculum |
| Intake closed operationally but history needed | Archive |
Best practices
- Correct names and dates early in the intake lifecycle so Apply handoffs, reports, and Info Hub audiences stay consistent.
- Before Change Curriculum, open the cohort Users tab and estimate how many study plans will be affected; involve the program owner if the impact summary is large.
- Prefer Archive over Delete for closed intakes you may still need for audits or historical reporting.
- After renaming a cohort that is used in Info Hub targeting, spot-check that staff still recognize the audience when composing announcements.
- Keep curriculum surgery on Manage cohort curriculum — do not treat Disconnect or Reset as casual edits.
- If you extend or shorten End Date, check whether computed status still matches institutional expectations for that intake.
Common pitfalls
- Editing under the wrong program version — cohorts are listed per version; use the version selector first.
- Confusing Rename Study Program with editing the parent program’s name or code.
- Confirming Change Curriculum without reading the impact summary and cascade choice.
- Using Delete when Archive would preserve historical membership and structure.
- Shortening the end date so the cohort shows Completed while students are still mid-program.
FAQ
Will renaming a cohort change student study plans?
No. Name and duration edits update the cohort’s identity and intake window. Study-plan structure follows the assigned curriculum version, which you change only via Change Curriculum or related curriculum actions.
Can I edit dates after students are enrolled?
Yes. Update Duration through Edit and save. Consider whether downstream enrollment timing, reporting, or applicant flows that reference the intake still match institutional expectations — and whether computed status will change.
Where do I disconnect the curriculum?
From the cohort row actions menu, select Disconnect. Full steps and effects are on Manage cohort curriculum.
