Report an absence

Tell the organizer you cannot attend an appointment using Can't attend on the appointment detail sheet in the Fuxam mobile app, with reason and optional attachment.

If you cannot make an appointment that appears on your calendar, report your absence directly from the appointment detail sheet. Can’t attend sends a structured notice — including your reason and optional supporting file — to the organizer who scheduled the session. This keeps a clear record tied to the specific event in your Fuxam Mobile calendar, rather than relying on informal messages that are easy to miss.

Why it matters

Universities track participation for academic, funding, and accreditation reasons. When you know in advance that you cannot attend a lecture, seminar, or meeting, reporting through the app gives the organizer timely notice and preserves documentation your institution may need for attendance policies, excused absences, or follow-up. It is the mobile counterpart to seeing the event on the institutional schedule maintained in the Base calendar — your report is linked to that same appointment record.

Reporting an absence is not the same as checking in. If you attend after all, use the Check-In tab to scan the session QR code; do not submit an absence report for a session you plan to join.

Organizers create the appointments you see on Fuxam Web — see Create an appointment. Approval, excusal, or grade impact follow your institution’s normal processes after they receive your mobile notification; the handbook does not replace those local policies.

How to report an absence

Open the appointment from your calendar.

Tap Can’t attend.

On the Report absence sheet, enter a Reason explaining why you cannot attend.

Optionally tap Add attachment to include a photo or file as supporting documentation.

Tap Submit. You see a confirmation when the absence is reported.

What to include in your reason

A useful Reason is specific and factual — for example illness, a conflicting exam, or a documented appointment. If your institution expects medical or official documentation for excused absences, use Add attachment to include it at submission time. You cannot add an attachment after the fact through Can’t attend once submitted (see limits below).

Important limits

  • Can’t attend only appears for appointments already on your calendar.
  • You can report an absence only once per appointment. After submitting, the option is no longer available for that session.
  • If you already reported an absence, the sheet shows You reported that you can’t attend with any attachment you submitted.

Your organizer receives a notification about your reported absence. Approval or follow-up happens through your institution’s normal processes.

After you submit

Once confirmed, expect the organizer to handle your report according to course or institutional rules — which may include acknowledgment only, a request for further documentation, or updates to official attendance records on Fuxam Web. The mobile confirmation means your notice was delivered; it does not by itself guarantee an “excused” status unless your institution’s policy says so.

If you reported by mistake and still plan to attend, contact the Organizer shown on Appointment details as soon as possible. You may still check in with a QR code if you are present and check-in is open, but resolving a mistaken absence report is an organizational conversation, not an in-app undo.

Best practices

  • Report as soon as you know — early notice helps organizers adjust room plans, attendance expectations, or session materials.
  • Attach documentation when your policy requires it — a photo or PDF at submission time is easier than a follow-up email thread.
  • Keep reasons professional and concise — the Reason field is read by staff who may handle many reports across courses.
  • Do not use absence reporting for schedule errors — if the appointment should not exist on your calendar, contact the organizer; the event may need editing on Fuxam Web.
