Appointment details
View title, time, location, attendees, notes, check-in status, and role-specific actions for a calendar appointment in the Fuxam mobile app.
Tap any appointment on your calendar schedule to open its detail sheet — a focused summary of everything you need about that session. The detail sheet is the hub for joining online meetings, opening directions, reporting absences, and (for staff) managing attendance. It mirrors the core facts you would see when opening an event on View the calendar in Fuxam Web, presented for quick use on a phone.
Why it matters
A timetable grid tells you when something happens; the detail sheet tells you what it is and how to participate. Title, organizer, room, notes, and attendee lists turn a colored block into actionable context — especially for hybrid courses where the same slot might be online one week and in a lecture hall the next. For attendance workflows, the sheet also reflects whether you have already checked in, linking your calendar view to the Check-In tab without leaving the appointment context.
How it fits
| From the detail sheet you can… | Handbook page |
|---|---|
| Join or start an online meeting | Join a meeting or get directions |
| Open maps for an in-person location | Join a meeting or get directions |
| Report that you cannot attend | Report an absence |
| Confirm prior check-in | Check in with a QR code |
| See today’s sessions before scanning | See upcoming sessions and recent check-ins |
Appointments themselves are created and maintained on Fuxam Web — see the Base calendar section for organizers. What you see on mobile is always the latest published version of the event as it applies to you.
What you see
The detail sheet shows:
- Title and date/time (including All day events)
- Organizer and Attendees (with a count when there are many)
- Location or Room for in-person appointments
- Notes from the organizer (or No notes available if none were added)
- A Checked In badge if you already checked in to this session
Field reference
| Element | What it tells you |
|---|---|
| Title | The name of the session as set by the organizer. |
| Date/time | Start and end; All day events span the full day without specific hours. |
| Organizer | Who scheduled or owns the session — your contact for questions. |
| Attendees | Who is invited; a count appears when the full list would be too long to show at once. |
| Location / Room | Physical place on campus or an address for in-person meetings. |
| Notes | Instructions from the organizer — readings, room changes, or join details. |
| Checked In | You successfully recorded attendance for this session (via QR check-in). |
Online and hybrid appointments
For online or hybrid sessions, you may see meeting actions such as Join (opens the meeting link) or Start (starts a Zoom meeting if you are the host). Buttons appear based on timing — for example, you may see Meeting not ready yet if the link is not active yet, or Meeting time has ended after the window closes.
Hybrid sessions combine online access with a physical Location or Room — you may see both meeting actions and a map preview. Use the actions appropriate to how you are participating that day.
Full step-by-step guidance for Join, Start, Restart, and map actions is in Join a meeting or get directions.
In-person appointments
In-person appointments show a map preview of the location. Tap the map or Open in Maps to get directions.
If your institution assigns rooms through OrgHub, the Room label corresponds to the room record used when the appointment was booked on Fuxam Web — see Assign a room to an appointment for how organizers link rooms to events.
Staff and organizer actions
| Action | Who uses it | Learn more |
|---|---|---|
| Show QR Code | Staff and organizers | Show a check-in QR code |
| Attendance | Staff and organizers | Manage attendance |
Students typically check in by scanning the displayed QR code — see Check in with a QR code. The Checked In badge on the detail sheet confirms that your scan succeeded.
Report an absence from details
From the detail sheet you can also report that you cannot attend — see Report an absence. The Can’t attend option appears on the sheet when reporting is available for that appointment.
Best practices
- Open details before the session starts — verify time zone implications for All day events and read Notes for preparation.
- Check the Checked In badge after scanning — if it is missing, retry check-in from the Check-In tab before assuming attendance was recorded.
- Use Join only when the button is active — if you see Meeting not ready yet, wait until closer to the scheduled start.
- Confirm attendee count for group work — the count helps you know whether key participants are listed without scrolling a long roster.
Common pitfalls
| Situation | What to do |
|---|---|
| No notes available but you expected instructions | Contact the Organizer; notes are optional and may not have been added on Fuxam Web. |
| Meeting not ready yet near start time | Wait and reopen the detail sheet; the host may not have activated the link yet. |
| Checked In badge missing after scanning | See Check in with a QR code troubleshooting; confirm you scanned the correct session’s code. |
| You need to edit the appointment | Organizers use Fuxam Web — Edit an appointment. |
FAQ
Why do meeting buttons sometimes disappear?
Actions such as Join and Start depend on the meeting type, your role, and whether the scheduled window is active. Outside that window you may see Meeting not ready yet or Meeting time has ended instead.
Does the attendee list show everyone invited?
When there are many attendees, the sheet shows a count rather than the full list. For a complete roster, organizers can use Fuxam Web or attendance tools.
Can I check in from the detail sheet?
Students check in via the Check-In tab and QR scanning. The detail sheet shows a Checked In badge after a successful scan — it does not replace the scanner flow.
